The Data Analyst will be responsible for general oversight, reporting, training, and user support to ensure the proper use of ETO by our program staff and ensure timely and complete collection of participant data. This position reports to the Chief Operations Officer and works very closely with senior leadership staff and grant writing team. There are no direct staff reports to this position. This position works on site, Monday to Friday, 9 AM - 5:30 PM. The Data Analyst is responsible for augmenting data efficacy to inform program outcomes and impact. In addition to the Data Analyst position responsibilities, this position will be responsible for some scheduling, travel, and expense support to the Chief Operations Officer. 


For the right candidate with additional experience, we are also open to this position being a Senior Data Analyst. In addition to the duties above, the Senior Data Analyst would work to identify data trends, programmatic needs (based on data), and ensure consistency of data collection and reporting. This position will work with the Chief Operations Officer to guide programs on ensuring continuity between data collection, data entry, and data reports. The Senior Data Analyst will also take the lead on sharing our data out to the Human Options team in compelling and simple way (storytelling through data). 

Human Options uses a client database called Efforts to Outcomes (ETO), a product of Social Solutions. As part of the onboarding process for this position, the Data Analyst (or Senior Data Analyst) will participate in an intensive boot camp to learn about ETO and how to manage and manipulate its data. 


Data Analyst Essential Duties and Responsibilities: include the following. Other duties may be assigned. 

  • Develops and modifies ETO systems in response to user needs, research, and reporting requirements 

  • Support development and implementation of data administration policies, technical standards, and data models 

  • Perform tasks related to administration and coordinating access to ETO systems, including management of user accounts, licenses, and permissions ensuring system security and confidentiality is maintained 

  • Develop and implement database structures, relationships, queries, report dashboards, and other components for effective, timely, and reliable utilization of information from ETO for use by our programs and other stakeholders 

  • Create and maintain regular and ad hoc reporting required for all review, analysis and research needs 

  • Conduct report testing and modifications as required, ensuring reports are accurate, timely and provide the necessary data 

  • Conduct analysis of data for completeness and accuracy and to support programmatic improvement, as well as achievement and precise reporting of goals across the agency as required. 

  • Develop training manuals and documents and assist in designing the format of training sessions 

  • Train and work collaboratively with program staff, senior leadership, and administration on ensuring client data and reports are accurate and complete. 

  • Provide ongoing training and communication on new or changed features to users as required 

  • Facilitate regular meetings with ETO and other database users to ensure alignment of database structures, data policy, and tools with requirements for service delivery, contract management and reporting, and program evaluation 

  • Attend meetings with stakeholders including other agency programs and departments as required 

  • Liaise with database providers to address problems in a timely manner and ensure database integrity and reliability. 

  • Stay connected to the ETO community through publications, meetings and on-line resources to maintain knowledge of ETO features and functionalities, as well as concepts driving the development of ETO 

  • Provide technical expertise in data storage structures, data mining, and data cleansing. 

  • Responsible for maintaining the integrity and performance of ETO databases and dataset 

  • Work with frontline staff to correct data quality problems promptly 

  • The Data Analyst will lead the annual archiving process with support from program leadership. 

  • The Data Analyst will lead the annual Point In Time Count data collection, compilation, and submission, along with the annual NNEDV count. 

  • Produce regular reports using Excel to communicate performance metrics. 

  • Locate untapped value in programs data and provide recommendations for future analysis to the COO. 

  • Under the supervision of the COO, and in collaboration with the Site Administrator, maintain an accurate technology inventory (computers, monitors, printers, docking stations, etc.) across the agency. 

  • General administrative duties, including: 

  • Answering phones 

  • Welcoming visitors and clients 

  • Coordinating deliveries and non-cash donations. 


Senior Data Analyst Essential Duties and Responsibilities will Also Include: 

  • Having wide-ranging experience, uses professional concepts and company objectives to resolve complex issues in creative and effective ways. 

  • Once we know the data is clean, start moving into data science (using the data and demographics you have to share insights into what the data shows us about the work we are doing). 

  • The Data Analyst will be a member of the Data/Tech Task Force 

  • The Senior Data Analyst will be responsible for supervising a Data Intern 

  • Creation/management of Human Options’ strategic priorities dashboard 


Data Analyst Skills Required 

  • Experience with "SAP BusinessObjects Business Intelligence Platform 4.2" or higher 

  • Knowledge of "Microsoft SQL Server 2014"  

  • Knowledge of "Amazon S3 - Cloud Object Storage"  

  • Team Management, including data visualization/presentation skills are ideal 

  • Strong problem solving, logical, and analytical skills 

  • Strong experience with Excel (pivot tables, power queries, data manipulation) 

  • Previous work and certification with Efforts to Outcomes or similar software is preferred 

  • Experience with basic statistical and qualitative analytic methods is an asset 

  • Prior work in the not for profit, social/human services or related industry 

  • High proficiency with MS Office (Word, Excel, PowerPoint, Access, Outlook) with demonstrated ability to quickly learn new software and web-based applications 

  • Ability to train and teach others 

  • Ability to be creative and think outside the box 

  • Strong written and verbal communication skills 

  • Ability to be proactive about challenges/barriers before they become a crisis/issue 

  • Ability to multitask under pressure 

  • Ability to initiate and be a self-starter 

  • Ability to be a creative and efficient problem-solver 

  • Ability to understand the ramifications of adjustments in one program, touchpoint, or report to overall system or reporting functionality. 

Senior Data Analyst Skills Required Will Also Include 

  • Experience with Tableau, SQL, or the other business intelligence software required. 

  • Excellent written and verbal communication skills. 

  • Experience with basic statistical and qualitative analytic methods is required. 


Data Analyst Qualifications: Education, Training, and Job Knowledge Requirements: 

  • Certification or degree in computer science, information technology or related discipline that has a significant database management and administration component preferred. Equivalencies in experience will be considered. 

  • Minimum 2 years related experience in providing support for users of database systems and reporting responsibilities. 


Senior Data Analyst Qualifications: Education, Training, and Job Knowledge Requirements Also Include: 

  • Minimum 4 years related experience in providing support for users of database systems and reporting responsibilities. 

  • Professional experience with additional computer languages such as Python or R for statistical analysis
