About the Role:

In this role you’ll be the first voice our patients and providers hear when taking in referrals. On a day-to-day basis you will be interacting with patients and providers while navigating patient charts and referral notes to give them proper updates and send them through the right SleepQuest departments. You’ll ensure a seamless experience into our referral process. The person most successful in this role enjoys organizing data, communicating with patients, and researching/investigating referral details. 

 

As an Intake Coordinator you will:

  • Provide the intake of all referrals for Diagnostic Sleep Studies, Unattended Titration Studies, PAP, and new Supply patients up to Gate 10/11
  • Receive all fax documentation for all 5 PSC’s & VirtualCare
  • Re-distribute non-referral and ongoing supply referral information to appropriate staff via email
  • Enter all new patients into Brightree the day received
  • Accurately enter all patient demographics
  • Select appropriate Branch based on incoming fax number

Start notes for type of Referral

  • Call patient to inform them of the referral from their physician and gather any missing patient information
  • Determine completeness of documentation
  • Ensure prescription has all necessary elements
  • Confirm all pages of the required documentation have been received
  • Confirm the patient meets their insurance company’s medical policy for the service or DME being ordered
  • If any documents are missing or additional information is needed, the Intake Coordinator will contact the referring MD’s office and/or the patient to obtain the records

Enter all new Sales Orders into Brightree

  • Select appropriate WIP and Classification state
  • Add appropriate items to the Sales Order
  • Assign to Gate 5 or 10/11 depending on completeness of documents
  • Respond to patient inquiries within 24 hours:
  • Answer phone calls/emails inquiries from patients regarding the referral process and status updates.

What we're looking for:

  • Excellent communication skills, both verbal and written
  • Strong computer skills, to include proficiency with Microsoft Office Suite
  • High School Diploma
  • 1 year of intake experience
  • Detail oriented, ability to handle multiple tasks simultaneously
  • Preferred but not required:
    • Experience with database management systems, such as Brightree a strong plus

Work Environment:

  • Full-time Monday Friday onsite, 8:30-5:00 w/ ½ hour lunch and two 10 minute breaks
  • Non-Exempt (Overtime must be approved in advance with manager)
  • Reports to Intake Supervisor
