Summary:

The Development Associate & Database Administrator role is multi-faceted and will support the External Relations Department as well as manage the Raiser’s Edge NXT donor database. In collaboration with the Manager, Annual Giving, this position is responsible for maintaining a database of 10,000+ constituent records, ensuring accuracy and integrity of data, and following ethical and industry-standard data management practices. This unique position also provides vital support to the fundraising activities of the organization through data analysis and reporting, providing excellent customer service to our donors, and by assisting with events, appeals, and donor recognition.

 

PRIMARY RESPONSIBILITIES

 

  • Provide strong ownership of Raiser’s Edge NXT (RE NXT) database, ensuring accuracy and integrity of constituent data.
  • Enter all gifts and pledges into the database, including one-time gifts, recurring gifts, donor-advised giving, workplace giving, and other gifts made through a third-party platform.
  • Process recurring gifts in Blackbaud Merchant Services.
  • Import data as needed using importation tools.
  • Ensure that the database accurately tracks constituent communications preferences through monthly reconciliations with the Constant Contact database.
  • Work with Grants team to ensure proper entry of grants information into database and with Director of Volunteer Services to ensure proper entry of volunteer information into database.
  • In collaboration with the Annual Giving Manager and the Finance team, ensure adherence to gift acceptance, counting, and processing policies.
  • Reconcile gifts entered in RE NXT with accounting records monthly.
  • Create and follow a regular maintenance schedule for cleaning and updating of data to include duplicates clean-up, submitting records to Blackbaud and the National Change of Address (NCOA) system for updates, cleaning up bounced e-mail addresses, table clean-up as needed.
  • Maintain Avivo’s RE NXT Process & Procedures Manual for users, implementing data entry changes and process improvements as needed to meet information and reporting needs of the organization and ensure consistency in use of the database by all users.
  • Manage database users and security, providing technical support and training to staff to enhance user proficiency and skill development.
  • Troubleshoot data and systems questions, assist users in finding solutions to RE NXT problems, and proactively identify process issues and communicate to users.
  • Produce queries, exports, reports, and e-mail and postal mailing lists to support communications, donor cultivation and stewardship, planning, and decision-making.
  • Run reports and lists for year-end reporting, donor recognition, annual audit, Annual Report, and other purposes as needed.
  • Responsible for event registration process, nametag creation, and seating assignment process for our three fundraising events per year
  • Ensure services provided are culturally responsive utilizing best practices.
Education:
  • Education: Bachelor’s Degree in business administration or Nonprofit Management or Information or Computer Science, or equivalent experience of 3 years required
  • Minimum of two years of data management or equivalent experience is required.
  • Experience and core competency with relational databases.
  • Experience with online fundraising, and email marketing platforms.
  • Experience with Raiser’s Edge NXT (both WebView and database view) preferred.
  • Ability to travel to various community sites for meetings with participants, regular meetings, and community events.
  • Must have access to a personal vehicle. Mileage reimbursement will be provided.
  • Must have a valid, current driver’s license, proof of valid insurance and a clean driving record.

WAGE:  $47,677.00 - $59,596.00
