The Windward Institute

The Windward Institute, a division of The Windward School is in need of an Assistant to the Director of The Windward Institute. This administrative position will provide support the the Director in promoting all aspects of The Windward Institute. This is a 12 month position located at the Westchester Lower School on Mamaroneck Avenue in White Plains, New York.

Duties and Responsibilities Include but are not limited to:

  • Support the Director of The Windward Institute in promoting all aspects of The Windward institute.
  • Utilize strong organizational skills while working independently on a variety of simultaneous projects.
  • Demonstrate excellent verbal and written communication skills including the ability to draft emails, PowerPoints, and other Windward institute documents.
  • Coordinate communications between The Windward Institute, internal divisions and department of The Windward School, and external constituents of both The Windward Institute and School.
  • Provide administrative support to the Director of The Windward Institute and other assigned Windward Institute staff. Attend Windward Institute meetings, take minutes, and disseminate follow-up documentation.
  • Support project management systems including Microsoft Planner maintenance, timeline tracking and notifications, and calendaring. Track and update action items for The Director of The Windward Institute and other members of the Institute team.
  • Represent The Windward Institute on the Calendar Committee of the Windward School and manage multiple internal calendars for The Windward Institute and Director.
  • Create spreadsheets and sort data related to professional development offerings, outreach programs, constituencies, and market research.
  • Build and manage email lists for outreach and marketing purposes.
  • Coordinate special events for The Windward Institute, including but not limited to two annual lectures and other events.
  • Provide administrative support for outreach and research efforts including site-based work, in-school research studies, and screenings.
  • Update and maintain Winward Institute files and records on SharePoint and Microsoft Teams.
  • Provide PowerPoint support for the Director of the Windward institute, Windward Institute instructors, and conference presenters.
  • Support the build-out of available Windward Institute resources including articles, informational documents, and videos.
  • Manage purchase orders, reimbursements, expense reports, and conference attendance/ travel for The Windward Institute.
  • Additional duties as assigned by the Director of The Windward Institute.

Specific Requirements

  • Bachelors degree a must.
  • At least two years' experience in administrative support required.
  • Commitment to childhood literacy and the mission of The Windward Institute.
  • Ability to work collegially within a team to achieve mission-critical objectives.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong verbal and written communication skills.
  • Positive, professional attitude with a proven ability to meet deadlines.
  • Flexibility to work additional hours, including occasional evenings.
