Description

Summary
The Donor Relations Manager is responsible for implementing stewardship strategies and events that enhance and foster the growth of DWCs donors. The primary focus of this position is to carry out a year-round donor outreach plan that deepens connections and levels of engagement between individual donors and the mission of the Downtown Womens Center. The Donor Relations Manager plays a key role in supporting fundraising initiatives by developing compelling content and ensuring relevant, consistent, and timely information is communicated to donors of all giving levels. They are adept at developing and using the agencys donor database, creating reports and analyses for use by the organization and other stakeholders when appropriate. If applicable, they will supervise the Donor Relations Coordinator.

 

Essential Functions

The functions described below represent key areas for the functioning, growth, and success of the development team. It is not an exhaustive list.

 

Administrative

Assist with administrative tasks for development tracking, reporting, meetings, and presentations.

  1. Compile quarterly reports of fundraising efforts as requested.
  2. Support the Board of Directors Development Committee and other Board fundraising efforts.
  3. Assist with additional activities in support of DWCs annual Development Plan as needed.
  4. Support the Communications & Development Coordinator with tracking of development metrics and processes (e.g., equity dashboard, board reports, in kind donations).

 

Individual Giving

Implement individual giving cultivation and retention strategies.

  1. Develop donor-centric fundraising and stewardship collateral that reinforces the relationship between the donor and the organization. Products may include appeals, peer-to-peer fundraising, thank-you letter templates, event invitations, campaign updates, and newsletters.
  2. Coordinate mailings from start to finish including generating mailing lists, securing materials, scheduling volunteers, managing process, and sending.
  3. Works closely with Donor Database Administrator to ensure maintenance of donor/prospect records in donor database. Track interactions and moves on behalf of leadership team.
  4. Conduct individual donor prospecting and research. Creates profiles for use by Director of Donor Relations & Events and CEO.
  5. Builds key relationships with an assigned portfolio of individual donors.
  6. Manage fundraising campaigns as assigned. Examples: peer-to-peer online campaign and events.
  7. Host tours of DWC to educate donors on women experiencing homelessness and DWCs approach.
  8. Coordinate all in-kind donations

 

 

Leadership Council

Manage the departments relationship with the Leadership Council, a fundraising auxiliary group.

  1. Serve as the primary point person in the organization for Toast to DWC, the yearly fundraising event of the Leadership Council
  2. Attend Leadership Council meetings to share about upcoming events and initiatives of the Downtown Womens Center
  3. Regularly communicate with the Leadership Council about relevant work
  4. Update Leadership Council membership roster

 

Fundraising Campaigns and Events

Coordinate fundraising campaigns and events in collaboration with the Director of Donor Relations and Events.

  1. Coordinate annual peer-to-peer fundraising campaigns, donor dinners, and other events as applicable.
  2. Department lead for third party engagements and events.
  3. Manage events email address and promptly response to all event inquiries (1-2 days)
  4. Develop a system for communicating within DWC about third party events.
  5. Develop and implement a stewardship plan for corporate sponsors.
  6. Provide additional event support as needed.

 

Communication & Social Media

Coordinate and support fundraising communication needs in collaboration with the Communication Manager.

  1. Coordinate and or provide content for donor communication and campaigns (e.g. new donor drip series, bimonthly newsletter),
  2. Provide input for DWCs social media strategy to support development priorities.
  3. Ensure that sponsorship promotion agreements are executed in communication activities such as press releases and social media posts.
  4. Develop a system for promoting third party event internally to DWC Board and staff.
  5. Monitor trends, research, and pitch new ideas to support communication and development priorities
  6. Support the communication team in ensuring that DWCs image and messaging is consistent and reinforces fundraising, marketing, and advocacy efforts.
  7. Collaborate with Communication and Programs staff to maintain an organizational Story Bank.
  8. Development liaison for content meetings.

Qualifications

Required Education and Experience 

  • 2-5 years in an administrative support role, nonprofit experience preferred
  • 1-3 years of management experience
  • Bachelor’s degree or equivalent preferred

 

 

Required Knowledge/Skills/Position Qualifications

  • Detail-oriented, highly organized self-starter able to work independently, set and meet goals and deadlines
  • Proficient in MS Office Suite, particularly Excel
  • Proficient in Google products, including Gmail and Calendar
  • Strong quantitative skills; experience managing a database and/or analyzing data, a plus
  • Experience managing volunteers, a plus
  • Experience with non-profit events, a plus
  • Good at following systems and procedures, while also refining them to create a more efficient process
  • Strong multitasking and problem-solving skills; ability to maintain composure in a fast-paced environment.
  • Demonstrated record as a successful team player, including the ability to develop and maintain a goal-oriented, positive attitude and good sense of humor
  • Compassion and understanding of the Center’s unique approach to service provision
  • Cultural Humility
  • Must be a CA resident and live at least 75 miles from the office and must be available for in-person meetings at the DWC offices.
  • Must provide documentation of a negative COVID-19 test result from the last seven days, on first day of hire.
  • Must provide documentation of a negative TB test result within the last twelve months, on first day of hire.
  • You will be required to have received at least the first dose of COVID-19 vaccination to start employment with DWC, and second dose must be received within 30 days from the first day of hire.
