Description

The law firm of Norris McLaughlin, P.A. in Bridgewater, NJ has an immediate need for a full-time Office Services / Records Assistant to join our New Jersey Office Facilities and Records Department. 

The candidate should have a high school degree or equivalent with a minimum of two to three years legal office support experience preferred.

Responsibilities:

  • Receives, sorts, delivers, picks up, and processes courier items, interoffice mail, and all classes of United States Postal Services (USPS) mail, FedEx, and UPS.
  • Distribute and meter US mail with knowledge of current postal rates; knowledge of Pitney Bowes machines preferred
  • Tracks incoming and outgoing shipments and prepares items for shipment.
  • Research and routes unidentified and generic mail.
  • Receives, logs, delivers, and tracks messenger items.
  • Accurately produce copy, print, bind, fax, and scan projects according to written and verbal instructions
  • Inspect and ensure all conference rooms and pantry areas are clean, stocked with supplies, and ready for continual use
  • Maintain inventory and order supplies as needed
  • Responsible for the organization and upkeep of various copy stations; including stocking of general supplies, delivery of copier paper, and basic daily maintenance of the copier(s)
  • Liaison with shredding vendor to coordinate monthly pickups
  • Assist with office/furniture moves as well as light repairs and furniture assembly
  • Maintain and organize office central files
  • Prepare files to be sent to offsite storage.  When needed, arrange for files to be retrieved from offsite storage.
  • Maintain records database by checking in or out items from offsite storage
  • Prepare and circulate monthly file destruction reports to attorneys/legal assistants
