Office Manager / Administrative Assistant - HYBRID work schedule

Seeking a full-time office manager/administrative assistant to support our small, but growing team in Providence.  

 

Job Requirements:

  • Directly support between 3-5 senior team members with a variety of tasks, including business travel arrangements, meeting scheduling and coordination, and other related support functions.
  • General office management responsibilities including managing/ordering supplies, setup/clean-up of in-office meetings and common areas, managing mail deliveries and various service vendors, and coordinating with building management on various issues.
  • Coordinate both in-person and Zoom meetings for employees who are not working in the office during the scheduled meeting.
  • Assist in planning, executing, and preparing presentation materials for meetings and conferences.
  • Tracking and preparation of expense reports using Certify.
  • Coordinate with IT professionals in headquarters for high-level, basic IT tasks relating to the Providence office.
  • Daily maintenance of ever-changing calendars, taking into consideration multiple time zones.
  • Upload documents and enter information into several internal databases.
  • Assisting with incoming phone calls and lunch arrangements as needed.
  • Minimum of 3 years of experience with the ability to work in-person in the downtown Providence office and remotely.
  • AA Degree
  • Proficiency with MS office applications including Outlook, Word, Excel, PowerPoint, Zoom and Teams.  General comfort with office technology and specifically Mac OS preferred.
  • Private equity or financial services experience ideal but not mandatory.
  • Excellent communication skills, both written and verbal.
  • Proven ability to independently manage multiple tasks and projects with competing priorities and deadlines.
