This role is a union position and covered by the Collective Bargaining Agreement with the Communication Workers of America (CWA), Local 1180.

 

The Events Coordinator assists in the planning and production of membership events for Amnesty International USA, including the Annual General Meeting and other events that elevate the organization’s movement-building efforts and advance key organization priorities. The Events Coordinator provides overall project management support to ensure that events are well-planned and well-executed.

 

This position works closely with the Director of Events, AIUSA staff, and members, providing critical support for implementing the national event strategy.

 

Essential Responsibilities

  • Centers Inclusion, Diversity, Equity & Accessibility (IDEA) during all planning and production aspects of events
  • Staff events on-site, directing event set-up, communicating with venue staff, and organizing vendors 
  • Supports planning and production of events by establishing and maintaining overall logistics for events, such as hotel block management, day flow management, and other planning items as needed
  • Supports session organizers, speakers, and session producers if/when events are virtual in the planning and production of their event sessions
  • Oversees registration process to include managing registration reports and analysis, onsite management, and training volunteers & staff
  • Maintains all operational event needs, including inventory for branding and registration
  • Processes invoices and tracks event expenses and deposits
  • Conducts research on the procurement of local and national vendors
  • Assists in tracking timelines and ensuring that all event projects are moving forward
  • Collaborates with Monitoring, Evaluation, and Learning staff to manage event evaluation process inclusive of data analysis
  • Supports all aspects of an event marketing plan, including but not limited to email engagement, website, social media, and branding strategies

 

Stakeholder Engagement

  • Works with relevant staff and volunteer leaders to help ensure that the events continue to reflect AIUSA’s brand, policies, and priorities by streamlining communication through logistical and administrative support
  • Provides administrative support to the AGM program committee ( i.e., coordinates calendar invites, manages files, takes meeting minutes, and other tasks as needed)
  • Manages day-to-day member communications by monitoring the event support email account
  • Supports staff and members with onboarding of virtual event tools

Qualifications and Experience

Knowledge, Skills, Abilities

  • Ability and commitment to work collegially and collaboratively with the team, staff, and volunteer leaders
  • Experience in and demonstrated interest in issues related to international and domestic human rights and commitment to Amnesty International USA’s mission
  • Understanding project management techniques, including having knowledge of accountability structures such as DARCI and/or MOCHA (formal training is a plus)
  • Strong written and verbal communication skills and a keen attention to detail
  • Must be able to work on a tight schedule and be flexible to work evenings and weekends when needed
  • Experience with Adobe InDesign or similar platforms is a plus
  • Superior organization skills, meticulous attention to detail, and a solution-driven demeanor are essential
  • Virtual event experience – experience with various platforms such as Zoom and other web meeting and event platforms
  • Travel is required for meetings and conferences
  • Night and weekend hours required for events

 

Physical Requirements

  • Prolonged periods of sitting and/or standing at a desk and working on a computer
  • Must be able to stand and walk for long periods of time during events
  • Must be able to lift up to 25 pounds

 

Education and Experience

  • B.A./B.S. and at least 3 years of event planning experience in conferences/summits is required
  • Proficient in MS Office and experience using Excel and Google Sheets

 

Travel Requirements

  • Domestic travel required for meetings and conferences
  • Night and weekend hours are required for events
