Position Purpose

This position is responsible for administrative support to the coordinators, care managers and management teams with administrative processes and other support as needed.


Essential Duties

  • Responsible for compiling and mailing documentation to necessary recipients
  • Maintains and updates internal data base and state systems and maintains data integrity standards
  • Scans incoming records, indexes according to standards, and attaches to the correct case in internal data base
  • Monitors email inboxes, indexes according to standards, and attaches to data base and distributes to appropriate parties  
  • Assist with misc. administrative tasks and special projects as needed
  • Provides timely follow-up on all related duties with coordinators and care managers, supervisors, managers and provider agencies as necessary
  • Maintain various tracking systems as needed
  • Conveys a positive and professional image of the organization to others
  • Performs other duties as assigned



Knowledge, Skills and Abilities

  • Demonstrates support for the company’s mission, vision and values 
  • Basic skill in computer software programs including databases and on-line applications
  • Knowledge of basic office machines
  • Excellent written and verbal communication skills, strong organizational and time management skills, and strong interpersonal skills
  • Ability to maintain strict HIPPA confidentiality guidelines
  • Ability to prioritize, meet deadlines and work independently
  • Ability to problem-solve and think critically when issues arise

Minimum Qualifications

  • High School Diploma or GED equivalent.
  • 1-2 years of general administrative experience.
  • Proficiency in Microsoft Office Suite


Preferred Qualifications

  • Non-profit and/or Human Services experience
  • Experience with web-based data management systems
