What the Program Coordinator, Scientific Support does
The Program Coordinator promotes discovery in Earth and space by serving as liaison between the Executive Vice President, Science and VP, Publications, as well as other Senior Team and members, vendors, and other contacts.
The Program Coordinator, Scientific Support, provides coordination and high-level administration of duties in AGU’s Science division. The scientific division incorporates AGU’s publishing program (journals as well as books), meetings (an annual 25,000+ meeting plus smaller meetings), data management program, and the Thriving Earth Exchange program. The incumbent provides executive support to the Executive Vice President, Science, in coordinating cross-department communications and assisting the EVP in executing priorities. The incumbent supports the Vice President, Publications, in higher-level operations coordination across AGU initiatives. The incumbent works with the Director, Volunteer Leadership, and the Executive Office on creation, editing, and administration of Scientific Council materials.
The position reports to the Director, Executive Office, who coordinates executive support for the American Geophysical Union.
- Coordinates and maintains an effective and efficient workflow for the EVP, VP, and other members of the Executive team to accommodate changing priorities.
- Anticipates and resolves conflicts competing with EVP/VP/Senior Team schedule and/or priorities.
- Researches information and analyzes data in support of programs or information affecting organization goals and objectives.
- Correlates and edits materials submitted by others to ensure that the EVP and VP have necessary briefing materials, agendas, and/or prepared remarks for meetings, conferences, and speaking engagements.
- Drafts messaging as well as responses to high-level executive queries, statements, and communications for the team.
- Manages day-to-day operations including governance work surrounding the scientific Council, and potentially with new business ventures, international, and programmatic activities in the Science division.
- Organizes long-range scheduling, travel and planning for executives.
- Handles detail of confidential nature and operates with great latitude of independence.
- Supports the scientific Council, in conjunction with the Executive Office, in preparing for and staffing Council meetings, other meetings as needed, including preparation of materials and reports, logistics, communicating with Council, minute-taking and tracking of follow-up items. Troubleshoots and has lead responsibility for packet or meeting coordination and creation.
- Supports the programming on the Executive Vice President, Science, as needed, in preparing for and staffing committees, staff meetings, and other meetings as needed, including preparation of materials and reports, minute-taking and tracking of follow-up items across Publications, Meetings, Data and Thriving Earth Exchange.
- Works with Executive Office team in the development of department monitoring and reporting, and related operations systems and processes, with particular attention to program management.
- Supports CEO or Executive Vice President, Strategic Leadership & Global Outreach, when needed and in absence of Director, Executive Office.

What the Program Coordinator, Scientific Support brings to the team
- Bachelor’s degree in Business Administration, Education, Science or other related field with up to 3 years of experience in program administration.
- Ability to exercise highest level of discretion on both internal and external confidential matters.
- Ability to communicate, collaborate and cooperate effectively with staff, senior management, members of the Board of Directors, scientific Council, and outside organizations.
- Ability to prioritize, research, plan, manage, coordinate and complete multiple projects, including complex logistics, on deadline in a fast-paced environment.
- Excellent writing and editing skills with a strong attention to detail and accuracy.
- Strong interpersonal skills, and demonstrated resiliency and comfort with change.
- Demonstrated proficiency with Microsoft suite of products, including Word, Excel and PowerPoint, and comfort with researching and learning new tools, resources and technologies.
- Experience in scientific publishing or meetings management preferred.
- Governance knowledge and previous governance work with membership organizations preferred.
