Job Description

The Care Ministry Administrator is responsible for managing the Care Ministry pipeline, which includes hospital visitation, weddings, funerals, counseling requests, and prayer cards. This role serves as the first point of contact for the Care Ministry Department where efficient response and confidentiality are expected. This is a full-time, hourly, non-exempt position, scheduled for 36 - 40 hours per week.

  • Assist Care Pastors by scheduling ministry appointments serving as the receptionist for the department
  • Manage hospital visitation requests by coordinating with pastors & small groups
    • Ordering flowers, sending cards, etc.
    • Coordinate bereavement follow-up process sending out books, cards, etc.
    • Documentation of all care in Fellowship One
  • Manage prayer requests, updates & documentation in Fellowship One as needed
    • Coordinate prayer cards for Wednesday Night Prayer Meeting
    • Send weekly reports to the appropriate ministry leaders
  • Manage Wedding building use requests and schedule appropriate spaces in ServiceU
    • Opportunity to serve as the Wedding Liaison. The Wedding Liaison schedules and coordinates all building-related aspects of the wedding and is on-site for the entirety of the event to assist the couple and oversee their use of the building. The Wedding Liaison is additionally compensated for this service by the couple. (See Wedding Policy for more details.)
  • Assist with Funerals and Family Meals
    • Be present to help facilitate funerals and family meals which can occur during non-office hours
    • Preparation and mailing of bereavement materials
  • Assist with Foster/Adopt administrative tasks
  • Schedule Care Ministry events in ServiceU and coordinate details with the appropriate teams.
  • Purchase supplies and items for events, classes, and ministry needs.
  • Order and maintain office supplies and hospitality for guests who come to the office

Besides our Sunday “attend one, serve one” and Wednesday night attendance, we also get to serve at:

  • Egg Fest - A community event the Saturday before Easter providing Easter eggs, games, activities, and food for the whole family
  • Serve Day - An all-church event one Saturday in June devoted to serving local school districts and community partners providing campus beautification, repairs, and facility improvement.  
  • Candy Fest - A community event the weekend of Halloween providing candy, pumpkins, games, activities, food, and a carnival atmosphere for the whole family
  • Dream Team Night - one annual night to celebrate all of our volunteers, called Dream Teamers.
  • Oaks Women Nights - three Saturday gatherings a year for women from every age and season of life to be refreshed, inspired, and equipped.
  • Oaks Men Nights - two Saturday gatherings a year for men of all ages to build community, encourage, and strengthen others to live in their unique design and calling. 
Job Qualifications
  • Bachelor’s degree preferred, but not required.
  • At least two years of related experience are required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills.
  • Ability to prioritize tasks and delegate them appropriately.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software.
  • Must be able to lift up to 15 pounds at one time.
