FLSA Status: Non-Exempt

Employment Status:  Part-time

Salary Range: $16.50 per hour

Shift: Monday – Friday, 2pm – 7pm

The Office Assistant (aka Receptionist) is the first point of contact with the agency for diverse clients, donors and community members and is responsible for creating a warm and welcoming environment for visitors. The Office Assistant is integral to the operations of the agency’s main office and performs various clerical and administrative duties.

 

HopeWorks’ staff, board, volunteers and interns are invested and engaged in altering the systems and imbalances of power that maintain the status quo - including racism, poverty, and gendered violence. The successful candidate will have an understanding of the root causes of sexual and intimate partner violence and a commitment to social justice.

 

HopeWorks is currently seeking an Office Assistant for the following shift: Monday – Friday, 2PM – 7PM.

 

Minimum Qualifications

  • High school diploma and 2+ years of experience working in an office environment
  • Strong computer skills including Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and database management
  • Knowledge of office administration, office equipment, data systems, multi-phone line systems, and vendor management
  • Exceptional communication and organizational skills with high attention to detail
  • Ability to multi-task, organize, prioritize work
  • Strong analytical and problem-solving skills
  • Ability to work independently and be self-directed as well as a team-player
  • Passionate about the mission and philosophy of HopeWorks
  • Experience in crisis response (preferred by not required) 

 

Essential Duties and Responsibilities

FRONT DESK RECEPTION

  • Answer and direct incoming telephone calls, providing information and referral as needed
  • Greet clients and visitors
  • In the absence of an Intake Coordinator, provide basic intake forms and conduct conflict checks

 

DONATION MANAGEMENT

  • Manage receipt and documentation of in-kind donations
  • Manage storage of in-kind donations

 

ADMINSTRATIVE SUPPORT

  • Provide administrative support to staff as needed to include copying and faxing of documents
  • Assist with special projects, events, and mailings
  • Manage incoming and outgoing mail
  • Assists in creating and maintaining a safe and secure office site by using crisis management and de-escalations skills
  • Maintain organization of copy room and other common areas
  • Other duties as assigned
