Under the supervision of the Filing Services Coordinator, the Data Filing Specialist will be the filing teams saving grace. You will file Surplus Lines transactions and reports with states and support your clients. Because you are a wizard at building reports and spreadsheets, that is where you will shine. You will be able to provide our software customers and internal team with tools that will make running their business and reports a breeze compared to the old-school ways. Essential Functions

  • Timely and accurate completion of state regulatory surplus lines tax filings
  • Ensure proper documents are received and reviewed from client submission
  • Conduct compliance and quality review on documents, state legislation, codes and procedures associated with surplus lines tax filing
  • Maintain working knowledge of surplus lines tax regulations
  • Reconcile filings with InsCipher Connect platform and state transaction reports
  • Assist in directing other team members as needed to maintain compliance with all Surplus Lines tax filings
  • Maintain regular and timely attendance
  • Demonstrate ability to manage multiple priorities in a high-volume position, deliver timely and accurate work products with customer service focus and respond with a sense of urgency as required
  • Assist with any surplus lines’ audits verifying transactions, documents, and filings
  • Ability to coordinate multiple projects while ensuring timely and accurate deliverable s, with effective problem-solving and resolution skills
  • Self-directed with strong organizational, decision-making, and time management skills.
  • Work directly with various team members to understand current workflows and identify inefficiencies where they exist
  • Batch import transnational data sets into different systems
  • Effectively works independently within a team construct, while supporting teamwork and achievement of team goals
  • Ability to effectively and professionally communicate and build positive working relationships with all levels within the organization and clients
  • Independently investigate, research, and resolve issues that may arise during the filing, reconciliation or payment processes as they relate to assigned duties
  • Build and maintain automated reports and reconciliation tools that will create efficiency for our filing service and software clients
  • Properly document all correspondence with state and clients in applicable location
  • Provide technical assistance to InsCipher Connect clients
  • Support the Surplus Lines Tax Leadership Team in fulfillment of ad hoc requests, as needed
  •  Accurately and efficiently respond to emails, outlook tasks and voicemails
  • Be flexible with internal workflow and process changes while providing feedback
  • Comply with all InsCipher and overall Company defined policies and procedures

Supervisory Responsibility 

This position has no direct supervisory responsibility.


Work Environment 

This job operates in a professional office environment. The role routinely uses standard office equipment such as a laptop, desktop, smartphone, photocopiers, shredders, and filing cabinets. The noise level in the work environment is usually moderate.

The employee is required to type, file and lift office supplies up to 20 pounds.


Position Type/Expected Hours of Work 

This position offers a flex start schedule.  The regular start time of the shift is between 7:00 a.m. and 8:00 a.m., Monday – Friday. Employee must work 30 hours per week to maintain full time employment status.  Occasional overtime is required.


Required Education and Experience         

  • Bachelor’s degree preferred
  • 2 years Compliance or State Regulatory reporting experience
  • Account Management experience
  • 2 years Insurance experience
  • Spreadsheet skills (pivot table, v-lookups, sumifs, macros, etc.) required - Those without this skill set need not apply
  • Project management specific education or certification is preferred
