JOB PURPOSE

Responsible for administrative and clerical support to the Finance department.

 

WORKING CONDITIONS

Physical Demands: Requires sitting or standing for extended periods of time. Requires frequent walking and climbing. Requires occasional bending and reaching to shoulder level and lifting, carrying, pushing or pulling weight up to 10 pounds. Requires repetitive hand movement.

Equipment Operated: Telephone, personal computer, printer, copy machine

Work Location: Finance office

JOB DUTIES AND RESPONSIBILITIES

Essential Job Functions:

 

  • Coordinate with other departments concerning collections efforts, ensure customer credit status is understood and communicated clearly.
  • Interact with customers in person, by phone, by email, and by letter to facilitate and drive collection of aging invoices, including copies of statements, invoices and other documentation upon request.
  • Update daily/monthly/weekly payment status and projected collections.
  • Process Customer Monthly Invoices.
  • Process Fuel Tickets and all administrative duties as needed for fuel.
  • Crate Fabrication projects including quotes, data entry, lumber tracking and reconciliation.
  • Freight tracking by customer and vendor.
  • Manage special projects including agreements, quoting and invoicing.
  • Verify Motel Bi-Weekly Totals including processing credit card payment.
  • Any additional duties as assigned by the Accounts Receivable Supervisor, Controller or CFO.

 

Marginal Job Functions:

  • Ensure that all work performed is done in a safe manner. Directs activities to protect employees from harm and maintain safe working conditions.

SMS REQUIREMENTS

  • Will participate in and support safety initiatives, safe work practices and SMS compliance.
  • Will participate in safety activities including the following: immediately reporting hazards, unsafe work practices and accidents/injuries.
  • Will follow all safety rules, FAA regulations, PPE compliance and equipment operation requirements.

Duties not listed within the position description may be required of the employee at the discretion of the department management.  Job functions may vary due to irregular working conditions or multiple shift positions.

QUALIFICATIONS

Education/Training: High School diploma or equivalent required.

Knowledge, Skills and Abilities:

  • Ability to organize and plan work adhering to deadlines; multitasking.
  • Moderate Knowledge of MS Office programs (Excel, Word), Outlook, basic ERP, and file management.
  • Strong ability to problem solve.
  • Strong attention to detail; knowledge of basic accounting
  • Ability to read, write and understand the English language and to follow verbal and written instruction.
  • Ability to work without supervision.
  • Ability to work in a high volume fast paced environment.

Experience: Two plus years experience in administration with knowledge of accounts receivable. Ability to prioritize multiple tasks and be comfortable working within a fast-paced environment. Previous experience with construction, aerospace preferred but not required.

Certificates/Licenses: Valid Arizona Drivers License with clean driving record for past three years.

Other: May be required to work at both Marana, AZ and Tucson, AZ locations as business needs dictate.
