Job Description

The Institutional Giving Associate provides administrative support to the Institutional Giving team, including developing reports, renewals, and acknowledgment letters. The Institutional Giving Associate will research, identify, and track prospective donors and assist Institutional Giving team members with the preparation and submission of grant reports, proposals, and renewals. The Institutional Giving Associate will help keep team members and the department well-organized, and will perform a variety of data entry, record-keeping, and clerical tasks to ensure the timely production and submission of high-quality proposals and reports to institutional donors (government, foundations, and corporations).

Job Duties and Responsibilities:

  • Assists Director of Institutional Giving and Manager of Foundation and Grants with solicitation and stewardship plans for existing and prospective corporate, foundation, and government donors.
  • Researches and maintains current files of Institutional Giving information, such as funding opportunities, application guidelines, deadline dates, and history of contributions to the Alley Theatre.
  • Compiles supporting material for reports, renewals, and applications.
  • Assists in preparation of reports to corporations, foundations, and government agencies, as required.
  • Collects and prepares documents for site visits and internal and external meetings, including collateral, agendas, budgets, and other materials, as necessary.
  • Executes all aspects of foundation stewardship and corporate sponsorship benefits and events.
  • Manages stewardship for Institutional Giving, including annual reports, event invitations, acknowledgement letters, etc.
  • Works with research analyst to identify potential funding opportunities and to prepare bios and profiles for prospecting events; provide research assistance as needed.
  • Performs weekly review of Institutional Giving web pages for accuracy, and provides required changes and updates to the marketing department.
  • Provides Playbill updates from the Institutional Giving department to the development assistant.
  • Helps maintain institutional constituents and data for proposal and grant activity in Tessitura.
  • Provides administrative support, including copying, scanning, mailing, and electronic filing, as necessary, for the Institutional Giving team.
  • Attends and participates in Alley fundraising and stewardship events, as needed.
  • Serves as a Development representative at Alley performances as needed (i.e. Greenroom).
  • Performs other duties as assigned.

  • BA/BS degree in a related field and two years professional work experience.
  • Self-motivated, detail-oriented professional with an ability to multi-task.
  • Extensive computer and database knowledge (Word, Excel, Tessitura).
  • Excellent oral, written, and interpersonal skills.
  • Excellent customer service skills and ability to handle matters in courteous and friendly manner.
  • Proactive, hands-on approach, and professional work ethic.
  • Effectively prioritize tasks and manage time.
  • Possess strong grammar, spelling, and proofreading abilities.
  • Demonstrated ability to meet deadlines under pressure.
  • Strong organizational skills and the ability to multi-task.
  • Ability to collaborate and work in a team-oriented environment.
  • Ability to represent the Alley Theatre appropriately (internally and externally).
  • Tessitura experience preferred.

Reports To: Director of Institutional Giving  

Status: Full time hourly non-exempt

Compensation: Commensurate with experience.

Schedule: Weekdays with some evenings and weekends
