Responsibilities:
- Executive administration support to the Executive Leadership Team (CEO and ELT Members (5)
- Completing a broad variety of administrative tasks including managing an active calendar of meetings, interviews, and conference calls; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas with the ability to execute last minute changes; and compiling documents for travel-related meetings
- Assisting the CEO and Executive Team with meeting preparation, research and ad hoc projects
- Office management
- Track stocks of office supplies and place orders when necessary
- Facilities liaison
- P-Card Administration
- IT liaison - Coordination of IT equipment and software needs
- Coordination of onsite and offsite meetings
- Event Coordination / Assistance
- Vendor onboarding
- Support for interview scheduling, as needed
Required Qualifications:
- 5-7+ years of executive administrative and operational experience required (in a healthcare or technical environment is highly preferred)
- Ability to manage tasks with minimal direction and exceptional responsibility
- Team player with a desire to learn and work with a grateful team, building the infrastructure to facilitate the team’s success
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff external partners
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Understanding/working experience with expense management platforms
- Strong competency with Microsoft Suite (Powerpoint, Excel, Teams, Outlook, Sharepoint, OneDrive) and high aptitude for learning new software tools
- Exceptional written and verbal communication skills
- Curiosity and a willingness to learn
- Proactive approach to problem-solving with strong decision-making capability
- Entrepreneurial mindset and enthusiasm for building a great company
- Experience working with senior-level or C-suite executives
- An understanding that matters requiring attention may occasionally occur outside of standard ‘business hours’
- Flexible and agile in support of working within a growing, dynamic organization
