FACILITIES SUPERVISOR (Night Shift)

The Windward School is currently seeking a full-time Facilities Supervisor for the Westchester Middle School. This position is a night shift role, 3:00 pm to 11:00 pm and located in White Plains, New York. This role will maintain a safe, clean, sanitary, healthy, presentable, professional building, free of dust, clutter, and trash in all areas. The Facilities Supervisor is also responsible for coordination of building evening events and facilities projects.

Duties and Responsibilities

Building Operations:

  • Oversees and performs custodial work including, but not limited to, restroom cleaning and supply replenishment, floors, baseboards, corners and wall/floor edges, light fixtures, interior glass/mirrors, sink and counter, tables/desks, water potted plants, dusting, spot cleaning, outdoor cleaning, collect/remove trash, clean refrigerators/microwaves, and restock water and paper goods, as needed.
  • Leads team in event set-ups for all evening events, ensuring timely set-up and tear-down of events with accuracy and decorum utilizing the EMS computerized ticket system for events.
  • Conducts regular inspections of building condition and reports to daytime supervisor.
  • Ensures that both the inside and outside of all Windward property is maintained, including landscaping, snow removal, and garbage/trash removal.
  • Oversees inventory control for all general supplies, parts and equipment for necessary cleaning and maintenance and keeps records of inventory on Maintenance SharePoint Drive.
  • Maintains all required files on Maintenance SharePoint Drive.
  • Supervises the refilling of fuel for all buses.
  • Assesses all plumbing, HVAC, and electrical problems within the facilities and determines the best course of action to correct the problem and works within the legal scope of local and state codes.
  • Adheres with accounting department policies: submission of purchase orders in timely manner, timely reporting/submission of overtime for staff, and drafting of RFP form for projects over $5000.
  • Responds appropriately to resident or community emergencies by assisting as needed.
  • Schedules, implements, and manages a preventive maintenance program for production machinery and equipment in conjunction with the Director of Physical Plant.
  • Directs the maintenance and operations of various facility systems to ensure uninterrupted service (including but not limited to electrical, refrigeration, water, steam, and compressed gas).
  • Reviews completion times of work orders with staff to efficiently manage the overall process in ZenDesk Ticketing system.
  • Assists in the recruitment, interviewing & selection of maintenance personnel.
  • Maintains department schedule to ensure adequate staffing. Works with Operations Coordinator to create appropriate staff schedule in shared Outlook Calendar for all facilities staff.

Supervisory Functions:

  • Oversees all maintenance employees on assigned campus, mentors, trains, and evaluates all staff.
  • Maintains a school-wide Facilities Staff Scheduling calendar within Outlook, with the help of the Operations Coordinator, to determine staff schedule in conjunction with absences and projects taking place across all three campuses.
  • Must have remote access and be proficient in assigned campus BMS system.
  • Provide appropriate training to appropriate staff in fire alarm and security system protocols for each building.
  • Hires, trains, motivates, and evaluates work performance of employees.
  • Confirms all staff is trained in OSHA and other training required by the School.
  • Establishes and maintains a productive working environment.
  • Supervises the work of outside contractors to ensure compliance with contractual agreements, municipal codes, and safety standards.
  • Must be present at after-hours school-wide events to oversee maintenance staff including but not limited to Back-to-School Picnic, Homecoming, Graduation, Schwartz Lecture, and various Board of Trustee events, as determined by the Director of Physical Plant and Director of Operations.
  • Position may be required to perform duties outside their normal responsibilities as needed and when requested.

Qualifications

Specific Requirements:

  • Minimum of 5-7 years custodial management and supervisory experience.
  • A self-starter with a wide degree of creativity and latitude is expected.
  • Maintenance/Operations experience with solid knowledge of building systems including, but not limited to, plumbing, electrical, steam, carpentry, renovations/alterations, landscaping, waterproofing, and HVAC.
  • Must be able to communicate effectively, both verbally and in writing, in order to maintain good relations with staff.
  • Must be on-call 24 hours and be available to respond to issues as they arise.
  • Hands-on and service-oriented with the ability to deal with ongoing demands and remain professional in a stressful, fast paced, and changing environment.
  • Ability to self-manage, prioritize and handle multiple tasks with efficiency and accuracy.
  • Proficient with Microsoft Office Suite, Work Order Ticket Programs, Building Management (BMS)and, Computerized Maintenance Management Systems (CMMS), Event Management Systems Programs.
  • Will only be allowed to drive the Schools vehicles between campus locations. They should not leave any one of the campuses and return home without express written permission from the Director of Physical Plant or the CFO.

Physical/Environmental Requirements:

  • Physical demands include lengthy periods of standing, use of computer and phones, and carrying heavy objects.
  • Walking, crawling, climbing may be required to perform and/or inspect work performed.
