Description

Summary:

Full cycle Accounts Payables, Accounts Receivables and Payroll. Supports the Controller and CFO; processes all transactions in an accurate and timely manner.

Summary of Essential Job Duties:

 

Accounts Receivable

  • Prepare all monthly invoices/billing
  • Keep track and record all direct deposit payments
  • Maintain Customer Contract Files
  • Prepare daily deposits
  • Monitor accounts receivable aging, make collection calls as needed
  • Respond to customer and credit inquiries
  • Process credit applications for potential new customer accounts
  • Maintain customer data base
  • Post cash receipts daily
  • Other tasks as directed by Controller
  • Follow all Administrative Policies and Procedures; make recommendations for change as warranted

 

Accounts Payable

  • Audit & input vendor invoices for payment 
  • Pay vendors: payment scheduling, prepare checks, route for approval and signatures
  • File vendor invoices with support documentation and maintain files in an organized manner
  • Process employee expense reports, audit and pay in a timely manner
  • Respond to vendor inquiries
  • Prepare W-9s, 1099s and Washington State D.O.R. resale tax forms.
  • Maintain vendor data base
  • Maintain cost allocation table
  • Maintain monthly Health and Life insurance for recurring GL
  • Other tasks as directed by Controller
  • Follow all Administrative Policies and Procedures; make recommendations for change as warranted

 

Payroll

  • Process payroll using Paycom software
  • Work with Paycom service center to implement system changes as necessary.
  • Calculate and process payroll deductions (i.e. taxes, benefit premiums, garnishments, etc.)
  • Ensure proper calculation of JWOD Health and Welfare for employees working on Federal Contracts
  • Ensure timely and accurate processing of any changes in employee, (i.e. wage increases, benefits enrollments/cancellations, etc.)
  • Ensure legal reporting for company 403(b) retirement plan
  • Manage and maintain all payroll files and records in compliance with all legal requirements
  • Maintain staff lists and distribute to necessary persons within the company
  • Maintain Paid Time Off (PTO) and Extended Sick Leave (ESL) accruals and distribute lists to managers
  • Report new hires to the State of Washington and IRS
  • Print and collate monthly, quarterly, and yearly payroll reports for CFO and other applicable staff
  • Distribute W-2 reports annually
  • Assist Human Resources with wage and benefits information, etc.: unemployment purposes, mortgage verifications, King County Housing Authority.
  • Ensure accuracy of billing for benefits providers
  • Complete other payroll-related projects and tasks as assigned by supervisor
  • Participate in system upgrades and implementations as required

 

Necessary Skills

  • Familiar with GAAP, and general accounting policies and procedures
  • Familiar with Washington State Department of Revenue sales tax regulations
  • Familiar with prevailing wage
  • Experience in making month-end journal entries
  • Proficiency in MS Office (Excel, Word and Outlook) data bases and accounting software such as Microsoft Dynamics and Paycom
  • Hands on experience with spreadsheets and preparing financial reports
  • Accurate and detail oriented
  • Filing, good record keeping
  • Excellent oral and written communication skills
  • Data entry and word processing skills
  • Provide proactive solutions to problems
  • Excellent planning and organizational skills
  • Ability to maintain strict confidentiality
  • Reliable attendance

Qualifications

Education and Experience

 

Minimum qualifications for this position may be satisfied by a combination of education and experience as outlined in the chart below:

 

  • BA / BS with emphasis on accounting, with 5+ years full charge bookkeeping experience
  • Additional years of experience will be considered in lieu of University degree requirement
  • Experience in retail service/Trades (Prevailing wage/Certified payroll)
  • Microsoft Dynamics software is strongly preferred
  • Paycom Payroll/HRIS software is strongly preferred
  • Adept with Microsoft Office Suite, specifically Excel

This position does not contain any direct supervision of others
