What We're Looking For:

We're looking for an Executive Assistant to provide professional and personal assistance to our CEO. This role will also provide administrative support to other members of the executive team as needed. The ideal candidate will have strong organizational skills, keen attention to detail, and the ability to meet deadlines.

 

This is a hybrid position combining remote work and on-site work in our Glendale, CA office or at our CEO's residence as needed.

 

What You'll Do:

 

  • Proactively provide high-level executive administrative support to the CEO and other members of the Executive team
  • Manage and maintain multiple calendars, including recurring meetings, prioritizing appropriately, and using good judgment in offering solutions to complex scheduling and meeting planning needs
  • Assist the CEO with personal errands as needed
  • Create travel itinerary including flights, hotels, and transportation
  • Record meeting notes, tasks, and activities that are related to follow-up from meetings.
  • Monitor email, voicemail, and other correspondence
  • Complete and process expense reports and reconcile credit card statements
  • Assist in planning and implementing company events
  • Manage incoming and outgoing mail service for the company  
  • Conduct research, collect, and compile data for special projects as assigned

 

What You'll Need:

 

  • 3+ years’ experience in an administrative assistant role
  • Experience working in a remote environment
  • Excellent phone etiquette
  • Strong Internet and PC skills, including Word, Excel and Outlook  
  • Ability to prioritize and handle multiple tasks simultaneously, and maintain high levels of confidentiality 
  • Superior organizational skills, excellent verbal and written communication skills, and attention to detail
  • Attention to detail and strong follow-up skills 
  • Valid CA driver’s license, reliable transportation and ability to travel within the Los Angeles region
  • High school diploma or GED equivalent is required or equivalent combination of experience and education
  • Ability to adapt quickly and effectively in time-sensitive situations
  • Proactive problem-solving with strong decision-making capability
  • Strong sense of urgency and confidentiality
  • Strong rapport builder and relationship manager. Ability to communicate with various levels of staff
  • Displays strong initiative and drive to accomplish goals and meet company objectives
