POSITION PURPOSE

      Oversees and directs administrative functions for the parish including finance, facilities, technology and human resources.   Oversees parish stewardship and development activities.   Assures compliance with local, state and federal laws/regulations along with Archdiocesan rules, regulations and policies. 

II.  MAJOR DUTIES AND RESPONSIBILITIES

  1. Directs fundraising activities such as Stewardship of Treasure campaign, Planned Giving activities, Capital Campaigns and Archdiocesan Annual Catholic Appeal. 
  2. Manages the financial resource systems of the parish.  This includes processing all financial transactions for the parish (accounts payable, accounts receivables, banking, and payroll).  Oversees the parish deposits.  Reconciles monthly bank statements.
  3. Prepares financial reports.
  4. Assures preparation and administration of capital and operating budgets for the parish.  Assures accurate and confidential record keeping systems.
  5. Evaluates office equipment and technology and manages the up-grade of or installation of new equipment or systems.  Directs the preparation and upkeep of asset inventory.
  6. Assures compliance with Archdiocesan Compliance issues through preparation and follow-up to Archdiocesan Compliance Reviews annually.
  7. Oversees any leases, contracts, and insurance issues as they arise.  Protects the interests of the parish and archdiocese while stewarding these agreements.
  8. Assures support to the Information Technology needs of the staff and parish.  Coordinates upgrades to hardware and software as needed and assures training opportunities to the staff. 
  9. Supervises Communication & Database Coordinator and Administrative Assistants; providing guidance, training, development, and corrective action and dealing with/resolving other employment issues. 
  10. Manages the Human Resources function and its sub functions including benefits, salary administration, recruiting, interviewing, hiring, training, employee relations, communication and terminations.
  11. Manages the parish Safe Environment Program.  Ensures all employees and appropriate volunteers are in compliance with the Archdiocese Safe Environment Program.
  12. Assures staff is trained and understand Records and Retention policies.
  13. Manages office volunteers: Money Counters and Front Office.
  14. Coordinates the distribution/collection and monitoring of facility keys.  Orders keys as necessary.
  15. Serves as staff to Finance Council, Stewardship Council.

III.  SECONDARY FUNCTIONS

  1. Provides feedback and input on parish personnel matters for the Pastor.
  2. Participates in staff meetings.
  3. Serves as a member on Safety committee.
  4. Maintains a level of knowledge and skills necessary to serve in this ministry.
  5. Performs other duties as assigned.

The successful candidate will be an active and practicing Catholic, have at least 3 years successful experience in management and accounting, and a Bachelor’s in Business or equivalent in a related field. Other desired skills:

  • Familiarity with Quickbooks Online
  • Working knowledge of MS Office products
  • Ability to multi-task 
  • Excellent communication skills
