Hospice Executive Assistant


The Executive Assistant supports one or more assigned executive leaders in performing administrative and executive support duties and special projects. This role is  responsible for the coordination and administrative support of multiple types of meetings and committees, including one Board of Directors. This includes preparation of agendas and accurate and detailed minutes. Position could be 24 or 32 hours a week depending on the candidate, but it does have the potential to grow into a full time position. The ideal candidate must be highly flexible and be able to work remotely and in office as the position requires.    

Some essential duties include, but are not limited to:

  • Supporting management in administrative tasks for the SCM (Supportive Care Management) program and WHPCC (Wisconsin Hospice and Palliative Care Collaborative) program.
  • Coordinate and provide administrative support for multiple types of meetings and committees, including the WHPCC Board of Directors. This includes ensuring the room and any needed equipment are set up for meetings. This may also including running errands if food and refreshments are needed.
  • Supporting clinical executive with administrative support tasks for clinical operations. 
  • Set up and coordinate conferences and travel arrangements for staff attending conferences and other webinars, etc.
  • Supporting human resources with administrative tasks. 


  • Associate's degree in administrative support or related field, or equivalent education and work experience.
  • Medical experience a plus.
  • Valid driver’s license, auto insurance, and access to a reliable vehicle required.
  • Ability to be self-directed in accomplishing the coordination and decision-making responsibilities of this position with the ability to resolve issues independently.
  • Excellent organizational, prioritization, time and project management abilities, and a strong work ethic.
  • Proficient in advanced word processing and data management software programs. Experience with Microsoft Office 365 including SharePoint, Teams and OneDrive. Complex calendaring and presentation skills. 
  • Ability to communicate effectively and professionally, both verbally and in writing, to both internal and external customers.
  • Ability to establish and maintain effective working relationships with all constituents.
  • Ability to maintain confidentiality of any and all information encountered.
  • Ability to effectively address issues and opportunities creatively and strategically.
  • Ability to work in a fast-paced environment and ability to handle many tasks simultaneously.
  • Effective analytical ability in order to analyze, evaluate and solve problems.
  • Ability to ensure a high level of customer satisfaction.
  • Ability to create a trusting, positive and supportive work environment.
  • Knowledge of the principles, policies and procedures of executive office management preferred.
  • COVID 19 vaccination series required.
