Description

The Fleet Science Center’s Special Events & Group Sales Manager supports the Fleet’s Mission and Visitor Experience Philosophy by managing their department as they work to increase revenue through corporate, public, and private events and group sales.  This position serves as the primary manager for the sales, promotion, planning and execution of all rental events at the Science Center.   The focus of this role is on ensuring an excellent guest experience for all group sales patrons and event organizers and attendees.

Selected candidate must be available to work evenings and weekends as required.

Reports to:  Director of Visitor Experience & Business Operations

Primary Duties and Responsibilities, including mental requirements of position:

  1. Oversee the Special Events and Group Sales team members by providing leadership, setting goals and evaluating progress.
  2. In consultation with the Director of Business Operations, set monthly and annual sales goals for the various categories of sales including private events, birthday parties, sleepovers and catering. 
  3. Work with the Brand Experience Department to plan and implement marketing programs in an effort to meet monthly and annual sales goals.
  4. Develop, update and maintain all department Standard Operating Procedure (SOP) manuals.
  5. Responsible for achieving the financial goals of the Special Events and Group Sales Department and all necessary financial reporting.
  6. Works closely with other Operations staff and managers to coordinate all aspects of events (client tours, planning, logistics, execution).
  7. Network with Balboa Park and City of San Diego leaders, as well as other external event planning contacts, to increase awareness of potential sales and event opportunities.
  8. Develop and implement policies and procedures for the special events and group sales programs based on research of market trends, competitors’ pricing, and information from other department heads.
  9. Contact prospective clients via telephone “cold calls,” personalized letters, email campaigns, off-site client calls and/or large mailings.
  10. Responsible for preparing contracts and work orders and submitting documentation to the necessary departments.
  11. Assist with and support the development, coordination and execution of major Fleet employee and volunteer events.
  12. Manage the annual operating budgets for the Special Events and Group Sales Department.
  13. Maintain thorough knowledge of emergency plan procedures and ensure staff team members are trained and kept current on emergency procedures.
  14. Other related duties as assigned by supervisor.
  15. Maintain CPR/AED/First Aid/Food Safety certification

Qualifications

Experience, education, or skills required of the incumbent in this position:

  • Minimum of three years supervisory management experience in sales, event management, and/or customer service.
  • Bachelor’s degree required, or equivalent combination of education, training, and experience; Certified Meeting Professional (CMP) designation is a plus.
  • Knowledge of Food Safety, CAL-OSHA and OSHA regulations.
  • Demonstrated ability to provide excellent visitor service and motivate team members to do the same.
  • Excellent interpersonal and communication skills (verbal and written).
  • Ability to assign responsibilities, allocate resources and direct corrective action to attain favorable impact.
  • Demonstrated ability to create, prepare, comprehend and troubleshoot budgets and complex reconciliation and accounting reports.
  • Intermediate to advanced computer skills preferred. Intermediate to advanced Excel experience necessary.
  • Current CPR/AED certification, or ability to obtain certification within 30-days, if hired.
  • Strong mathematical skills are required to perform cash management procedures and reconciliation.
  • Demonstrated attention-to-detail and follow-through required.
  • Must be able to maintain a professional demeanor at all times.
  • Ability to work independently as well as in a team environment.
  • Must be able to handle challenging visitor relations issues and/or team member issues with diplomacy and tact while maintaining company policies and procedures.
  • Must be able to work an extremely flexible schedule to include: days, nights, weekends, and holidays as needed.
