Description

The Volunteer Program Coordinator supports the Fleet’s mission and Visitor Experience Philosophy by coordinating and administering the Fleet Science Center’s volunteer and internship programs.  Essential duties include recruiting and on-boarding new volunteers, organizing volunteer recognition and appreciation events and the management of our volunteer information system. The Volunteer Program Coordinator works closely with departments and managers across the organization to ensure that their volunteer needs are being met.

Reports to:  Director of Human Resources

Primary Duties and Responsibilities, including mental requirements of position:

  1. Works closely with volunteer supervisors on recruitment, screening, placement and scheduling of all volunteers and interns.
  2. Develops partnerships with volunteer organizations, corporations, schools and colleges in order to create a greater awareness and participation in the volunteer program.
  3. Coordinates and presents at monthly staff (volunteer, intern and employee) new hire orientations.
  4. Maintains the volunteer database system to ensure all required forms and documents are current, completed and on file.
  5. Provides volunteer database training for volunteers, supervisors and others as necessary.
  6. In partnership with volunteer supervisors, develops, implements and coordinates volunteer recognition and appreciation events.
  7. Engages with groups, corporations and various internal departments to organize and execute group volunteer events.
  8. Prepares reports related to the volunteer program for a variety of constituents.
  9. Assists volunteer supervisors with performance counseling and coaching to volunteers/interns and maintains and enforces discipline policies and procedures.
  10. Assists in the maintenance and update of the volunteer program handbook, supervisor handbook, procedures, forms, volunteer policies, etc.
  11. Attends various volunteer organization meetings to remain current on volunteer program administration.
  12. Other duties as assigned.

Qualifications

Experience, education, or skills required of the incumbent in this position:

  • Minimum of 1 to 2 years previous experience working directly with volunteers required.
  • Highly organized and detail oriented with strong administrative skills.
  • Demonstrated strong presentation, facilitation, and training skills from development to delivery.
  • Prior experience coordinating workplace events involving multiple vendors and constituents strongly desired.
  • Excellent interpersonal and communication skills (verbal and written). Candidate must be able to engage and enjoy personal interaction with a diverse staff of volunteers and employees.
  • Intermediate to advanced computer skills required (Word, Excel, video conferencing and PowerPoint). Knowledge of Paycom or other volunteer/employee database software is a plus.
  • Ability to creatively develop programs and events with limited financial resources.
  • Ability to handle multiple projects efficiently and effectively.
  • Must always maintain a professional demeanor and handle sensitive situations with tact and diplomacy.
  • Ability to handle confidential information in a professional manner.
  • Must be able to work independently as well as in a team environment.
  • Availability to work occasional nights, weekends, and holidays as needed.
