Purpose of Director of Finance and Administration Role:

The Director of Finance and Administration is responsible for continuing our legacy as an award-winning non-profit and trusted partner in allocating contributed and earned income from private and public funding sources. This position will uphold the quality and ensure the efficiency of all financial transactions, including insurance and compliance; and all internal business functions within the organization including information technology, and facilities. The Director of Finance and Administration is an executive leader and a member of NDI New Mexicos Executive Management Team.

 

Primary Responsibilities:

EXECUTIVE LEADERSHIP

  • Manages Financial and Administrative Functions and delivers Long Range vision and plans.
  • Works with Executive Director to drive both operations and strategic initiatives forward within staffing and budgetary resources.
  • Collaborates as a cross-departmental leader to ensure alignment in the execution of the organizations strategy.
  • Provides strategic recommendations to the Executive Director and Executive Leadership Team to improve the financial and organizational management of the organization. Suggests problem resolution approaches and procedures to resolve on-going operational/financial issues and improve operational efficiencies and effectiveness.
  • Develops an annual operating plan that encompasses all areas of responsibility and is aligned with the organizations strategic direction and long-range plan.
  • Motivates and inspires people to engage in and implement work requirements to vision and plans.
  • Actively supports an empowered culture through intentional team meetings, team building and coaching at all levels.
  • Communicates regularly with Executive Director through reports and regular meetings.

 

FINANCIAL LEADERSHIP

 

  • Manages employees performing financial, facility, and information technology functions.
  • Monitors and evaluates the performance of accounting and other financial staff, and facility operations staff. Recommends and implements personnel actions such as employee hiring, employee development, career planning, lateral and promotional moves, and dismissals.
  • Prepares (or directs preparation) of financial statements, business activity reports, financial position forecasts, annual budgets, and reports required by regulatory agencies with assistance from Controller.
  • Creates and oversees short-term and long-term financial objectives, policies, and actions in conjunction with Executive Director and Senior Management Team.
  • Directs the financial planning, budgeting, procurement, cost reduction and investment activities of the organization, as well as Strategic and Operational Plan Projects as assigned.
  • Monitors financial activities and details such as reserve levels and bank balances.
  • Develops internal control policies, guidelines, and procedures for activities such as budget administration, cash and credit management, and accounting in conjunction with Senior Management Leadership Team and appropriate external experts, including our audit firm.
  • Analyzes the financial details of past, present, and expected operations to identify development opportunities and areas where improvement is needed.
  • Oversees requests for disbursements and authorizes disbursements in accordance with policies and procedures, banking, protection, and custody of funds, securities, and financial instruments.
  • Records and adjusts investments according to approved allocations as directed by Investment Committee.
  • Evaluates needs for procurement of funds and investments, and makes appropriate recommendations. Records and adjusts investments accordingly.
  • Oversees and responsible for the accurate and timely Payroll processing and issuance, recordkeeping and responsible for each final payroll approval.
  • Directs, coordinates, and leads audits of the organizations accounts and financial transactions to ensure compliance with state and federal requirements and statutes. Liaises with external auditors.
  • Prepares financial information so that outside accountants can complete tax returns and audit financial results.
  • Determines depreciation rates to apply to capitalized items, and advises management on actions regarding the purchase, lease, or disposal of such items.
  • Develops and maintains relationships with banking, insurance, and non-organizational accounting personnel to facilitate financial activities.
  • Provides direction and assistance to other organizational departments regarding accounting and budgeting policies and procedures, efficient control, and utilization of financial resources, and required external financial reporting for fundraising purposes.
  • Oversees cash management including the receipt of cash and checks, deposit funds and cash flow.
  • Leads staff training and development in budgeting and financial management areas. Maintains current knowledge of organizational policies and procedures, federal and state policies and directives, and current accounting standards.
  • Provides financial analysis for Grant Writing.
  • Delivers to deadlines, own day-to-day work.

 

SERVES AS CORPORATE OFFICER

 

  • Prepares all financial statements and necessary schedules as needed for NDI New Mexicos Treasurer, Finance Committee and Board of Directors.
  • Implements policies, procedures, and protocols as set by the Board of Directors related to finance, investment, and compliance.
  • Ensures that the Board of Directors and the organization carries appropriate and adequate insurance and understands the terms, conditions, and limitations of the insurance coverage.
  • Attends and effectively communicates and presents formal reports to the Board of Directors for quarterly Board meetings.
  • Attends the Executive Committee meetings.
  • Attends and staffs Finance, Investment, and Audit Committee meetings.
  • Executes contracts on behalf of the organization.

 

 

 

COMPLIANCE, LEGAL, AND RISK MANAGEMENT ADMINISTRATION

  • Responsible for the documentation and maintenance of written procedure manuals for financial and compliance processes.
  • Responsible for protocol and policy for information and communication systems and security.
  • Directs the management of legal requirements related to intellectual property, licenses, warranties, trademarks and copyrights, real estate, technology, and other legal issues as required.
  • Annually audits NDI New Mexicos compliance processes and ensures requirements are met.
  • Manages NDI New Mexico legal affairs and contracts, liaises with external legal resources as required.
  • Manages NDI New Mexico capital contracts and projects.
  • Provides leadership to NDI New Mexico Senior Management Team regarding compliance issues related to Risk Management, Facilities, and Security.
  • Proactively identifies and evaluates risks to the organizations people (students, staff, donors, volunteers) property, finances, goodwill, and image. Recommends or implements measures to manage risks.
  • Manages NDI New Mexico insurance policies, renewals, and relationships. Partners with insurance brokers to ensure appropriate insurance coverage.
  • Coordinates with Executive Director and Human Resources Director regarding administrative and human resource compliance issues.

 

DIRECTS INFORMATION TECHNOLOGY

 

  • Oversees analysis and expenditures regarding office systems.
  • Directs the information technology strategy, budget, and resources of NDI New Mexico.
  • Responsible for IT policies including data use, data security, and use of personal information.
  • Plans, monitors and organizes technology information.
  • Advises the Executive Director on budgeting and expenditures with regards to the purchase and maintenance of IT systems, software, and hardware.
  • Provides executive sponsorship and direction of IT projects as needed.

 

FACILITIES MANAGEMENT

 

  • Manages Dance Barns and The Hiland Facility Managers
  • Oversees bi-weekly facility meetings
  • Directs building safety and security processes and procedures
  • Directs compliance with OSHA Safety Records Retention, MSDS Data Books, and Workers Comp Inspections

 

OTHER

 

  • Other duties as required

 

Working Conditions, Environment and Physical Requirements:

  • Duties performed in a variety of environments including NDI New Mexico offices, schools, residency sites, and other locations.
  • Requires reliable transportation and reimbursable in-state travel to NDI New Mexico locations, participating schools, residency sites, and community events.
  • Regular physical on-site presence required at both NDI New Mexico facilities.
  • Hybrid work environment
  • Requires weekend and evening hours.
  • May be required to lift up to 25 lbs.
  • May be required to navigate stairs.
Qualifications

JOB SPECIFIC REQUIREMENTS:

  • Requires 7-10 years minimum experience in job-related duties including significant accounting and financial leadership, and a background in monitoring business systems, project management, and compliance oversight.
  • Exceptional managerial skills
  • Excellent accounting, financial planning and analysis skills, including financial modeling in EXCEL, complex analysis.
  • Bachelor’s Degree in Finance, Accounting, or related field (preferably MBA or CPA).
  • Excellent computer skills including MS Office and QuickBooks Pro.
  • Leadership, supervision, management experience.
  • Solves problems by identifying causes, gathering and processing relevant information, generating possible solutions, making recommendations, and resolving problems.
  • Strong analytical and problem-solving skills.
