The Data Entry Specialist is responsible for ensuring the timely and accurate entry of gift and biographical information for the college’s donors, alumni, friends, volunteer boards and other constituent groups. The Data Entry Specialist reports to the Director of Advancement Services and Research.



  • Gift processing
    • Scan all checks (without MICR code) and accompanying gift documentation.
    • Enter gifts and pledges.
    • Enter payroll deductions.
    • Prepare deposits.
    • Generate and distribute Daily Reports
    • Transfer gift file for General Ledger upload.
    • Print, stuff, and mail receipts.
    • Produce and revise acknowledgment letters based on defined requirements.
    • Maintain physical files of gift documentation.
  • Add electronic records of acknowledgment letters and notes from the Vice President and President.
  • Ensure letters are proofed before being sent to donors.
  • Ensure items in the safe are checked, and cash bag and mail are picked up each morning.
  • Enter or update constituent information in the database.
  • Enter deaths, marriages, and births, and notify the appropriate departments.
  • Perform research in Lexis-Nexis as required.
  • Create new fund numbers with GL codes, updating the Designation List and Alpha List
  • Review local and national news data from internet-based and published periodicals. Send articles/alerts to giving officers as appropriate
  • Assist with on-campus events (e.g., Homecoming, Commencement)
  • Support Institutional Advancement by assisting with mailings, name tags, and other projects, as required.
  • Monitor the state registration process with our vendors to ensure filings are signed and returned in a timely fashion.
  • Participate in all Advancement Services cross-training options to support gift and data entry, reporting, and prospect research.
  • Safeguard the confidentiality of constituent information at all times.
  • Adhere to ethical guidelines as indicated by college guidelines.
  • Manage special projects as assigned.



  • High School diploma or equivalent required; Bachelor’s degree preferred
  • 2-5 years of experience in the field or in a related area preferred.
  • Accuracy and exemplary attention to detail required.
  • Accounting and/or bookkeeping experience preferred.
  • Experience recording and reporting gift revenue in a charitable organization preferred.
  • Experience with fundraising software (The Raiser's Edge) preferred.
  • Ability to observe confidentiality guidelines established by the College required.
  • Intermediate to advanced skills using Microsoft Office applications, especially Word and Excel required.
  • Well-developed analytical skills as evidenced by previous assignments and experience required.


Pay is competitive, and salary is commensurate with experience. This full-time position offers a full benefits package, including paid tuition at the College for eligible dependents.
