JOB SUMMARY

Reporting to the Director of Enrollment and Financial Aid and Director of Admissions, and working closely with the Associate Director of Admissions, the Admissions and Enrollment Administrative Coordinator is the initial contact for all admissions and enrollment inquiries made online, in-person, and over the phone. The position directly assists with coordinating all open houses, tours, and admissions events and is responsible for answering phones, taking and returning messages, and tracking RSVPs to admissions events. The position provides office support and customer service for the Admissions Office in all facets of the admissions process (from initial contact through acceptance and enrollment). The position is responsible for ordering supplies for the Admissions Office and all Admissions events. In addition to those responsibilities listed below, other miscellaneous duties or projects may be added at the discretion of the Director of Admissions and/or the Director of Enrollment and Financial Aid.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responding to general inquiries and requests for admissions applications
  • Managing RSVPs and inquiries for all admissions events
  • Scheduling meetings for the Admissions Department and interviews with prospective applicants/families
  • Entering applications in the admissions database as needed
  • Creating and maintaining files for applicants (electronic and hard copy files)
  • Assisting with follow up and reminders for all outstanding supplemental application materials
  • Ordering all supplies for Admissions Office
  • Supports, plans, and is responsible for ordering all items needed for Admissions Events
  • Managing emails, mail and sending out mailings/correspondences for Admissions Office
  • In conjunction with the Associate Director of Admissions, communicates reminders regarding Admissions events
  • Assisting with follow up and reminders of enrollment contracts and deposits during re-enrollment and acceptance seasons
  • Assisting with financial aid inquiries, document uploading, and data entry
  • Assisting with processing of enrollment contracts and deposits
  • Communicates re-enrollment deadlines to campus and parent community in a timely manner
  • Troubleshoots online admissions application and enrollment contract issues with prospective and current parents in a timely manner
  • Other duties as assigned by the Director of Enrollment and Financial Aid and the Director of Admissions

QUALIFICATIONS

  • Demonstrated ability to proactively manage multiple deadlines
  • Detail-oriented, organized, and resourceful
  • Excellent planning and logistical skills
  • Excellent verbal and written communication skills
  • Ability to communicate effectively with all community members
  • Bilingual (Spanish) preferred
  • Highly proficient Microsoft Office, particularly Microsoft Excel
  • Blackbaud experience a plus
  • Calendly experience a plus
  • Ability and willingness to learn new software applications
  • Bachelor’s Degree preferred
  • 2-3 years of applicable experience in a school environment preferred

The hourly range for this role is $20.00 - $28.00 per hour. This is the lowest to highest hourly rate we reasonably expect to pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, performance, and organizational needs.
