Human Resources Generalist

POSITION:                 Human Resources Generalist

REPORTS TO:           Director, Human Resources

STATUS:                     Full-time, Exempt (40 hours/week)

LOCATION:                Hybrid

SALARY:                    $70,000 - $90,000 / annual

 

 

GENERAL DESCRIPTION:

The Human Resources Generalist manages and executes various HR functions to support the organization's goals and objectives. Therefore, the human resources generalist plays a vital role in supporting the organization's human capital needs by effectively and efficiently managing HR functions. This also involves collaborating with management and employees to foster a positive work environment, ensuring compliance with employment laws and regulations, and effectively administering HR policies and procedures.

 

 

SOME ESSENTIAL DUTIES & RESPONSIBILITIES

 

1. Recruitment and Onboarding:

  • Coordinate recruitment efforts by creating, managing, and updating applicant tracking for positions, scheduling interviews, and facilitating the hiring process with hiring managers or candidates.
  • Oversee new employee onboarding, including completing the I-9, introducing the HRIS system, and providing an overview of company policies.

2. Training & Development:

  • Assist the Human Resources Director with planning and providing training workshops and programs.
  • Identifying or coordinating training programs in HRIS systems or on-site training programs to enhance employee skills.
  • Participate in professional associations such as AICCU, CUPA, and Chambers of Commerce to remain apprised of changes in the field and ensure ongoing compliance.
  • Participate in appropriate ongoing HRIS or computer software applications training to accomplish the department or University's objectives (e.g., 365 SharePoint, Excel, HRIS systems reporting features).
  • Attend seminars or webinars to receive updates on legal compliance in the Human Resources area. This will ensure that you are familiar with any upcoming laws and regulations affecting NDNU and can adequately interpret them when asked.

 

3. HR Compliance:

  • Ensure compliance with federal, state, and local employment laws and regulations.
  • Answer employee questions about policies described in handbooks or research responses and provide additional information and interpretation as needed.
  • Maintain accurate employee records and HR documentation, including personnel files (digital, electronic, and manual), I-9 forms,
  • Keep the Human Resources Director apprised of employee concerns, questions, or policy interpretation issues.

 

4. Institutional Events and Recognition:

  • Assist the HR Director with the annual Service Awards Luncheon
  • Assist with the coordination of the annual Open Enrollment or equivalent.

 

5. Communications and Technology:

  • Update and maintain the Human Resources Department website, training updates/links, policies, and benefits information/links)
  • Continually review and improve communication vehicles and technology to streamline processes and improve services.

                                                                                           

6. Benefit Administration:

  • Coordinate ongoing benefits administration and advise employees regarding benefit plans, policies, and procedures.
  • Process benefits changes.
  • Reconcile monthly benefits invoices.
  • Reconcile monthly 403-(b) deposits.
  • Prepare and submit annual employer contributions to the retirement plan.
  • Monitor COBRA Enrollments, ensuring compliance.
  • Manages and monitors employee's leave of absence.
  • Ensure employees are appropriately enrolled in benefits or necessary declinations are on file.
  • Manage and monitor employee's sick and vacation accruals.
  • Work with employees who have qualifying events to ensure benefits are appropriately updated.
  • Coordinate open enrollment activities.
  • Work closely with the Benefits Broker to ensure institutional and employee needs are being met.
  • Process and monitor workers' compensation claims.
  • Process and monitor unemployment claims.

 

7. HR Administration:

  • Manage HRIS (Human Resources Information System) and other HR-related systems to maintain accurate employee data and generate reports.
  • Create User and access accounts in the HRIS system.
  • Manage faculty and consultant contracts.
  • Track due dates, leave, and benefit eligibility, and advise employees of deadlines and procedures.
  • Assist with payroll processing, deductions, and payroll inquiries.
  • Monitor and maintain driver's training.
  • Manages and reconciles department and recruitment expenses.
  • Complete annual surveys

8. Serve as contact and assist with implementing emergency preparedness plans and ongoing safety programs.

9.   Other duties as assigned

 

Working Conditions:

  • The Human Resources Generalist typically works in an office environment.
  • Sitting for long hours, working at a computer workstation for extended periods.
    • Make ergonomic adjustments to workstations as necessary and order proper equipment to create an acceptable resolution of reported issues.
    • Monitor/report other working conditions and suggest/administer resolutions as needed.
  • Occasional travel may be required for recruitment activities or training sessions.

 

EDUCATION, EXPERIENCE, AND TRAINING

Any combination of experience and training that would provide the required knowledge and abilities in qualifying. A typical way to obtain the knowledge, skills, and abilities would be:

 

Education:

  • A bachelor's degree is required.

 

Experience:

  • At least four years of human resources experience or demonstrated relevant experience is preferred.

 

Knowledge, Skills, and Ability:

  • Excellent initiative skills: the demonstrated ability to research, problem solve, and recommend solutions.
  • Excellent organizational skills with the ability to multi-task under pressure.
  • Excellent communication skills (verbal/written).
  • Interpersonal skills with strong customer service orientation.
  • Excellent office management skills and attention to detail.
  • Intermediate computer skills and HRIS systems (Paycom preferred), including MS Office, SharePoint, 365 applications, etc.
  • Ability to work as a team member or independently.
