Description

Position Summary:

The Vice President of Operations will help drive the vision and strategy for Teacher Created Materials’ production, fulfilment and customer service functions.  As a champion of continuous process improvement efforts, this role will play a major part in the operation’s sustainable growth. The Vice President of Operations is responsible for designing, implementing and executing logistics processes that support and enhance operational efficiencies.  This leader will ensure that the organization is trained to the highest standards of operational excellence and technical competency utilizing best-in-class lean tools and methodologies. 

Essential Duties / Responsibilities:

Must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

General

  • Maximize operational efficiency and minimize end-to-end delivery cost
  • Lead, coach and develop operational teams: Fulfillment, Receiving, Production, Sales Operations, EDI and Facilities
  • Define KPIs, set standards, and benchmark operational performance
  • Identify and capitalize on financial opportunities that drive savings through gross margin initiatives
  • Champion efficiency ideas, cost reduction measures and assists with the implementation of changes within areas of responsibility
  • Direct day-to-day operational activities for three distribution centers
  • Manage and prepare supplier contracts.  Negotiate and draft proposals/agreements to ensure market competitiveness
  • Design scalable process flows and leverage cross team synergies to enhance efficiencies across the value chain
  • Conduct trainings, issue performance evaluations, manage building maintenance schedules, and organize safety programs  

Warehouse

  • Accountable for the performance of all distribution and logistics functions (Fulfillment, Receiving, Transportation, & Production)
  • Manage domestic and international distribution flows of incoming/outgoing product
  • Provide leadership and direct infrastructure support to achieve best in class operating environment
  • Establish compliance and quality protocols for all new carriers, brokers, 3PLs and NVOCCs
  • Forecast staffing needs and equipment resource requirements
  • Execute continuous process improvement strategy for lean supply chain initiatives
  • Improve customer service through the reduction of order cycle times
  • Improve processes and procedures to create scalable production and assembly capacity that supports future growth
  • Maintain and enhance vendor compliance program.  Monitor and approve chargebacks.  Update internal/external routing guides
  • Establish space capacity and utilization standards for the warehouse
  • Manage carrier relationships, negotiate transportation contracts, and optimize order to delivery cycle

Production

  • Develop and manage strategies to secure consistent manufacturing delivery. Identify gaps and develop solutions to meet rapidly changing demands
  • Create and deploy sourcing, manufacturing, logistics, and other performance standards that align with the brand strategy for product commercialization
  • Drive operations that deliver excellence in service, rate, product quality, on time delivery, and procurement
  • Provide innovative, most up-to-date production technology ideas as needed to support customer requirements

Sales Operations

  • Oversee sales operations and custom service teams responsible for supporting field-based sales org
  • Act as the strategic guide for developing service organization capabilities
  • Direct office operations at Huntington Beach site premises
  • Ensure proper performance tracking and reporting systems are in place to measure quality and productivity
  • Identify and drive implementation of tools that yield statistics to quantify the effectiveness of sales support activities
  • Ensure client services key performance measures align with company strategic goals
  • Oversee EDI program to ensure successful transaction transmission to trading partners
  • Responsible for CS credit policies, and business intelligence reporting capabilities
  • Manage customer compliance programs and new product submission approvals

Facilities

  • Responsible for the daily maintenance of buildings, equipment and company grounds
  • Direct day-to-day facilities request for employees across all active properties
  • Manage maintenance vendors (gardening, janitorial, etc.) to ensure the premises are safe, clean, and well maintained.
  • Actively source vendors to improve service while reducing costs
Qualifications

Minimum Qualifications:

  • Bachelor’s Degree with an emphasis in Business, Supply Chain Management, Finance, or related field
  • Knowledge of lean tools and concepts
  • 15+ years distribution, supply chain, and logistics experience
  • Excellent decision analysis and prioritization skills
  • High sense of urgency and bias for action
  • Experience in a previous position that requires interaction with a robust cross section of internal functional areas and external strategic partnerships 
  • Outstanding verbal and written communication skills
  • Well versed in quantitative and statistical analysis
  • Ability to seek out creative solutions under tight time constraints
  • Advanced MS Office Skills in Excel, Word, PowerPoint

Physical Requirements:

  • Sit for extended periods of time; including at a computer
  • Occasional lifting up to 50 lbs.
  • Repetitive hand and wrist movement for frequent use of computer keyboard and mouse
