Position Summary

The Accounts Payable Coordinator works as a valuable member of the Financial Shared Services team. This role will collaborate with the assigned manufacturing location(s) and be responsible for processing all their Accounts Payable transactions. The ideal candidate will have excellent communication and collaboration skills and will be able to work independently with little or no supervision. This person must be well organized, flexible, and enjoy the challenges of supporting manufacturing locations from within a corporate environment.

Essential Duties and Responsibilities

  • Accurately reviews, codes, and processes vendor invoices while enforcing and complying with company policy
  • Works with plant staff and supplier to review and reconcile invoice discrepancies
  • Processes payments according to provided guidelines
  • Processes daily cleared checks; manages outstanding checks to corporate guidelines
  • Processes check requests and expense reports as needed
  • Issues stop payments as needed
  • Performs monthly account reconciliations as assigned
  • Addresses and responds to vendor inquiries regarding outstanding invoices and/or payment details
  • Ensures credit is received and taken for outstanding returns, shortages, and quality claims
  • Ensures Supplier Master reflects correct tax identification, taxable status, credit terms, and address information
  • Prepares and issues 1099s as required
  • Collaborates with and supports other Accounts Payable team members as needed
  • Completes other Accounting and administrative tasks as assigned

Education and Job Experience Requirements

  • Associates degree or equivalent work experience required in one or more of the following disciplines: Finance, Accounting, or Business
  • 2+ years experience in Accounts Payable or other Financial function

Required Skills and Experience

  • Strong organizational and time management skills
  • Excellent collaboration skills; outstanding verbal and written communication abilities
  • Proficient in MS Word, MS Excel and other office technology
  • Strong sense of discretion and professionalism; ability to maintain confidentiality where required
  • Ability to learn and adapt to various technology for finance/accounting and other business applications
  • Ability to succeed in a matrixed / cross-functional role
  • Ability to work under pressure in a fast paced and progressive organization

Preferred Skills

  • Experience supporting manufacturing environments
  • Experience with PLEX ERP software
  • Advanced MS Excel experience, including pivot tables
  • Experience in MS Access databases
  • Experience working in a distributed Shared Services environment

Work Environment and Physical Demands

  • Employee may be required to work overtime, at times with little advance notice
  • While in manufacturing locations, employees may be exposed to forklift traffic, moving production lines, and fumes; the noise level in the work environment is usually moderate
  • Employees may be required to lift and/or move objects weighing up to 25 lbs

  • Understands scope of responsibility and is confident and knowledgeable in making recommendations and/or decisions within this scope.
  • Appropriately escalates other decisions to manager or leadership team members as needed.
