Executive Assistant to CEO

  • Duties/Responsibilities: Manages the CEOs schedule as well as schedules for assigned executive staff. Makes travel arrangements as necessary and prepares expense reports; Regulates behavior based on assessment of situation, personal feelings, strengths, and limitations; uses discretion and independent judgment in handling confidential and sensitive information in connection with the CEOs responsibilities; Speaks in a clear, articulate manner; Fields all incoming calls to the CEOs office; Writes clearly and concisely, using correct grammar, vocabulary, and appropriate tone for the message or audience; Maintains highly confidential executive and board files and correspondence; Coordinates annual schedules for Board of Directors and management meetings; produces and maintains minutes for meetings of the Board of Directors; Coordinates arrangements for meetings of various committees, task forces,
    public officials and groups; Maintains computer databases for various reports, committees and mailings; Maintains organizational chart(s); Coordinates staff business cards, stationery orders and office supplies for business/administrative offices; Gathers data, compiles and prepares all national statistical and assigned strategic plan reports; Support President/CEO and Executive Leadership Team; Coordinate Calendar (Meetings), Calls and Emails; Board Meeting Preparation; Agendas, Minutes, RSVPs; Board of Directors Committees Support; Perform other high level administrative tasks and projects as needed

  • Qualifications: Bachelor's degree in social services, business or equivalent preferred; YMCA Team Leader certification preferred; Three or more years of related experience working as assistant to high level executives or administrators, preferably in a nonprofit setting; Proficient in all standard business software; Knowledgeable about office processes and procedures; Ability to work with integrity, discretion and a professional approach; Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.); Strong written and verbal communication skills; Ability to speak any language in addition to English may be helpful; designated as a YMCA Business Driver, which means that the employee MUST possess a valid/current CA Driver’s License or other valid State Driver’s License. Also, MUST provide to the Y proof of minimum CA vehicle insurance coverage upon request & MUST maintain an approved/acceptable driving record. An annual MVR (Motor Vehicle Report) will be conducted by the YMCA. Employees who are YMCA Business Drivers who do not maintain an acceptable driving record may be prohibited from being a Business Driver which could affect employment status
