Description

Position:  Human Resources Coordinator

Classification:  Full Time, Salaried, Exempt 

Primary Reporting Relationship:  Human Resources Director

Secondary Reporting Relationship:  Executive Director of Operations

Ministry Areas:  Human Resources Department (as part of the Operations Team)

Interfaces:  Church, school, and preschool staff members, volunteers, and other stakeholders as identified and appropriate

Job Purpose: The Human Resources Coordinator supports the HR Department by performing tasks related to the following functional areas: full-cycle recruiting, compliance and record-keeping, benefits administration, policy development, communications, employee relations, talent management, and general day-to-day HR administration, including record-keeping, file maintenance, and HRIS entries. The HR Coordinator will perform his/her duties and responsibilities in support of Bay Area Church’s vision to saturate the 4B Area with the gospel by restoring people, families, and churches.

Major Responsibilities:

 

Full Cycle Recruiting

  • Screen applications, interview candidates, and assist hiring managers in scheduling interviews with potential candidates for all divisions
  • Update, maintain, and facilitate new hire orientation meetings and ensure that new employee documents are completed accurately and in a timely manner
  • Assist in ensuring all job descriptions are up-to-date and accurate
  • Help develop and maintain job postings as well as external job boards and publications
  • Help to coordinate interview questions and materials, ensuring all screening/interview notes are properly documented and filed
  • Assist with offboarding employees leaving the company, including conducting exit interviews, collecting employer-issued keys and technology, and terminating pay and benefits
  • Complete reference checks and background check screening processes for new hires

 

Compliance/Record Keeping

  • Maintain compliant and accurate employee files
  • Manage HR database information, including time-off module, updates for changes in employee status, and new hires
  • Responsible for the full processing cycle for background checks and invoices, ensuring all volunteer and employee records are up to date and clearance is obtained in a proactive and timely manner
  • Manage FMLA and employee leaves of absence; create, distribute, and maintain necessary documentation regarding employee medical leave and answer employee questions; ensure the leave process and policy is consistently followed

 

Benefits Administration

  • Assist with processing benefits administration for newly eligible employees by conducting benefit information meetings, collecting and reviewing benefits documentation, and entering data into provider accounts
  • Manage benefits administration for existing employees for various qualifying life events, and ensure benefits are updated across various provider systems
  • Partner with the HR Director during Open Enrollment to educate employees on current benefit offerings, update them on any changes, review paperwork, and ensure that all forms are submitted on time and changes are updated in benefit systems
  • Act as liaison between employees and benefit providers to help answer questions and address concerns
  • Manage employee wellness initiatives by partnering with outside vendors and benefit providers and coordinating programs

 

Policy Development/Communications

  • Partner with the HR Director to update, write, and edit existing and new company policies as needed
  • Create and maintain efficient cross-company communication to ensure that Human Resources and organizational policies and procedures are followed accurately and consistently
  • Train and educate employees on new policies and procedures

 

Employee Relations/Talent Management

  • Monitor the service tenure of employees and assist with the distribution of service awards
  • Assist in coordinating employee recognition programs, celebrations, and team-building events and activities
  • Serve as a resource for all team members by being available and accessible to discuss all human resource-related questions
  • Work with the HR Director to provide resources and guidance to the management team and employees on employee relations issues, disciplinary actions, and other performance issues, as directed and appropriate

 

Human Resources Administration

  • Partner with the HR Director on various HR initiatives, policies, and programs and assist with the day-to-day operation of the HR department
  • Act as a resource to both management and employees by offering support and guidance regarding company policy, procedures, and best practices
  • Process monthly invoices from insurance, retirement, background check, and HRA providers and submit to the finance team for payment
  • Create ID badges upon request for employees and volunteers org-wide
  • Submit and manage Workers Comp policy claims, ensuring guidelines are followed and requirements are met
  • Research best practices for employment-related functionality for the organization
  • Other duties as assigned by the HR Director

Qualifications

Educational Qualifications: High school diploma or equivalent required; College coursework, certification, and/or training in relevant field is preferred

 

Required Skills and Qualifications:

  • Previous administrative office experience required
  • 1-3 years of previous work experience in human resources, recruitment, or related field is preferred
  • Working knowledge of ADEA, FLSA, ADA, FMLA, Title VII, ACA, and other applicable local, state and federal laws, and other practice areas, policies and procedures is preferred
  • High level of computer proficiency and familiarity with office equipment, including multi-line phones, printers, copiers, scanners, and fax machines
  • Strong working knowledge of Microsoft Excel and Microsoft Word is required; Familiarity with Google Workspace, including Gmail, Sheets, and Docs is preferred
  • Previous experience working with HRIS and ATS programs preferred
  • Willingness to continuously learn by researching, attending trainings, webinars, seminars, and continuing education to further enhance skills and knowledge of relevant HR topics and best practices
  • Manage sensitive and confidential information with the highest level of professionalism,  tact, and discretion
  • Possess organizational and time management skills with the ability to prioritize and be detail-oriented
  • Excellent customer service skills, including patience, confidence, and empathy in both verbal and written interactions
  • Possess strong analytical skills and the ability to think logically, establish and follow procedures, instructions and make sound decisions
  • Ability to maintain confidentiality with a high expectation of maturity, discretion, and discernment
