Position:  Worship Ministry Assistant              

Classification:  Part Time, Hourly Non-Exempt (28 hrs/week)

Primary Reporting Relationship:  Worship Pastor

Ministry Area:  Ministry Staff, Worship and Tech Arts Team

Interfaces:  Church, school, and preschool staff members, church members, visitors, contractors, and other stakeholders as identified and appropriate

Benefits:  Paid holidays, sick leave, and vacation leave

Preferred Schedule:  Monday through Thursday within church office hours (8:30 AM to 4:30 PM) for a total of 28 hours per week. Occasional event support will be scheduled and communicated in advance when needed.

 

Job Purpose:  The Worship Ministry Assistant will work closely with the Worship and Tech Arts team to ensure the vision of saturating the 4B Area with the gospel. The goal of all support staff is to allow the ministry leadership to fulfill their individual responsibilities with excellence.

Major Responsibilities:

Worship and Tech Arts Ministry

  • Provide administrative support for all aspects of the Worship Ministry of Bay Area Church 

  • Provide support for the recruitment, supervision, and coordination of worship leaders, volunteers, staff, and students who are involved with the activities of the Worship and Tech Arts departments 

  • Manage correspondence, appointments, and schedules of the Worship Pastor

  • Direct communication inter-departmentally between the Worship and Tech Arts Ministry and all other departments and ministries, organization-wide 

  • Oversee booking for Worship Center and Student Worship Center venues on campus, and coordinate worship and tech needs for events

  • Oversee the scheduling and development of the Sunday morning prayer team

  • Assist with the formation of budgets for the Worship and Tech Arts Ministry

  • Establish and maintain computerized financial records and reports, and make recommendations for purchasing, including office materials and subscriptions (Planning Center Online, Vimeo, data storage, online resource, etc.)

  • Administer tracking of Worship and Tech Arts income and expenditures, including the preparation and submission of expense reports, check requests, purchase orders, and BACS Event Fees

  • Maintain credit card reconciliations for the Worship and Tech Arts departments

  • Assist in preparing details and execution plan for all aspects of Worship and Tech Arts events, including but not limited to room reservations, advertising, production, food and refreshments, personnel, and volunteers to achieve event objectives

  • Oversee all media input in ProPresenter, including song lyrics, message slides, lower thirds, and graphics, for all church events.

  • Assist with staff and volunteer hospitality in the green room and other event venues as needed. 

  • Manage printing and distributing of service cue sheets, chord charts, message notes, and roadmaps for Sundays, Mid-Week, Chapel, and other church and school special events as needed 

  • Export and upload weekly sermon videos to YouTube, Spotify, and the church website

  • Assist in the documentation of on-campus and online service gathering metrics

  • Initiate and implement improvement in department systems to maximize efficiency in fulfilling the vision and upholding the values of Worship and Tech Arts Ministry

  • Assist with coordinating volunteers and ensuring required background screening forms have been completed prior to serving

  • Collaborate proactively with HR to ensure required volunteer background screenings are updated ahead of expiration, and the new screening dates are entered in the HUB 

  • Assist with ministry communications via email, social media, announcements, and bulletins as directed

  • Attend all other necessary meetings (event planning, All Staff, ministry assistant meetings, etc.)

  • Help provide coverage at the church’s front reception desk when needed

  • Work as a cooperative member of the administrative team, as coordinated by the Office Manager

  • Other duties as assigned by the Worship Pastor

Qualifications

  • Possesses basic computer skills and knowledge of word processing programs (Google Workspace, Microsoft Word, Excel, PowerPoint) 

  • Possesses basic computer skills and knowledge of programs (Microsoft Word, Excel, PowerPoint); Previous experience with Planning Center Online, ProPresenter 7, and media file management systems preferred

  • Familiar with basic office equipment (multi-line phones, fax machines, and scanners)

  • Demonstrates strong writing and editing capability

  • Possesses excellent phone etiquette

  • Communicates clearly and effectively

  • Can maintain a high degree of confidentiality

  • Must be able to work effectively across multiple departments and demonstrate active cooperation on a campus that shares facilities with a Christian School of 800+ students, including a cooperative spirit with supervisors, department team members, co-workers, and volunteers

 

Education and Experience:

  • High school diploma or GED is required; preference will be given to candidates who have completed some college coursework

  • 2+ years of previous experience in an office environment preferred

  • Must be able to regularly remain stationary at the computer, requiring repetitive finger movements and manual dexterity

  • Must possess the ability to observe details at close range required for viewing a computer monitor, preparing and analyzing data and figures, transcribing, and reading

  • Must possess the ability to perceive sounds at normal speaking levels with or without correction; possess the ability to receive detailed information through oral communication and to make discriminations in sound

  • Must possess the ability to express ideas using the spoken word to convey instructions to church members, staff, and other stakeholders accurately, loudly, and/or quickly

  • Activities occur primarily indoors, but the worker may be subject to outdoor environmental conditions on occasion
