A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.

 

 

Position Title:              Animal Adoptions Manager

Starting Wage:             $30.00 – $33.00/hour

 

Purpose Summary:

 

The Animal Adoptions Manager is a member of the PAWS’ Companion Animal Services (CAS) management team and reports to the Associate Director of PAWS Companion Animal Shelter. The Animal Adoptions Manager is responsible for the daily customer and adoptions services for PAWS Companion Animal Shelter, providing excellent customer service to PAWS clients and leading a strong customer-focused adoption and client service team, and maintaining the retail merchandising area at the shelter. Maintain a safe and healthy environment for animals, staff, and the public visiting the shelter adoptions center. Promote a team environment dedicated to the excellence of our animal sheltering mission and will be expected to perform established duties and essential functions without direct supervision.

Essential Responsibilities:

In accordance with organizational policies, duties include but are not limited to:

  • Collaborate and coordinate with PAWS Cat City Manager on retail display, purchasing and inventory management to ensure the retail in the shelter lobby represents “one PAWS” to increase brand awareness and to maximize retail sales.  Ensure the shelter adoptions team maintains a clean, tidy, well maintained and professionally appearing adoption and retail lobby area promoting customer satisfaction and engagement. Manage retail expenses and work with the Adoption Advisor Leads to reach retail revenue goals.
  • Maintain and build attractive displays and resetting shelves with effective product rotation
  • Collaborates with the Cat City Manager for all major elements of the adoptions program for consistency across adoptions; manages the adoption program to meet agency goals and objectives.  Ensures program success by overseeing program implementation, documentation, and support materials.
  • Responsible for adoption and front counter transactions and education of shelter visitors, including sales of licenses, microchips and retail items, trap rentals, requests for monetary donations, post-adoption follow-up program, return-to-guardian, or post-adoption issues.
  • Directly supervise the scheduling, daily activities and performance of adoption and client service staff. Maintain open lines of communication and conduct regular staff meetings.
  • Responsible for managing and overseeing customer service issues while supporting and training the adoption and client services staff.
  • Responsible for the effective development of direct report positions, recruitment, motivation, hiring, orientation, scheduling, evaluation, advancement, training, and recognition with an inclusive team approach in accordance with policies and procedures.
  • Work closely with the shelter team to maintain best practices and high quality of care of PAWS shelter animals.
  • Inform Animal Care Manager about noticed medical and behavioral issues impacting both in-shelter and adopted animals and work collaboratively to solutions. 
  • Work with the Shelter Management team to collaboratively manage the records for incoming animals, such as ID tracing for Lost and Found animals, animal control holds, adoption returns, and transfer animals.
  • Responsible for overseeing the rehoming program by working with the Client Services team to determine which animals can be approved and when appointments can be scheduled.  
  • Train and assist adoptions staff in elevating donations to PAWS above the adoption fee by leading, modeling, and ensuring staff are asking clients for contributions to our non-profit organization in a consistent manner following prescribed standard operating procedures.
  • Work in tandem with the Associate Director of the PAWS Companion Animal Shelter to manage the lost/found program to meet agency objectives and ensure compliance with contractual obligations to municipalities PAWS partners with for stray sheltering services.
  • Responsible for adoption and shelter customer service training and procedures, and keeping paperwork, brochures, educational materials, and the lost-and-found binders updated and stocked.
  • Responsible for contributing to and updating monthly and annual adoption statistic reports; compile, maintain and analyze adoption statistics for various reporting needs and contribute to the development of the annual shelter report.
  • Oversee current off-site adoption event preparations in collaboration with the Shelter Managers and the marketing team.
  • Collaborate and coordinate with the Cat City Manager to create and implement adoption promotions.

 

Other responsibilities Include:  

  • Supervise the proper daily cleaning, organization, safety, and routine maintenance of all adoption-facing areas.
  • Perform daily review of adoptable animals, update paperwork with the adoptions team and identify any animals needing additional veterinary care, or behavioral assessments.
  • Perform daily operational duties as needed, including serving as an adoption advisor, animal care, cleaning, euthanasia, animal receiving and intakes, and other daily tasks as needed
  • Review adoption counseling memos and adoption restrictions on animals available for adoption.
  • Recommends and generates adoption-centric social media content in conjunction with Social Media and Communications Manager
  • Make recommendations and collaborate on repairs, improvements or purchases pertaining to customer care areas and equipment.
  • Coordinate ordering and inventory of supplies for adoptions lobby.
  • Collaborate with the shelter management team on user-friendly adoption support materials and provide recommendations on adoption fees within prescribed departmental practices to achieve projected adoption revenues.
  • Assist Senior Director with the preparation of the adoptions program budget, manage expenditures for the adoption program within approved budget, and provide the proposed adoption and related fees to the Senior Director annually for budget consideration.
  • Assist with managing expenditures within projected budget goals and coordinate with Shelter Operations Manager on staff scheduling.
  • Work collaboratively with PAWS Communications staff to create and update marketing materials and assist with planning for adoption promotions through constructive collaboration and communication to ensure a steady flow of adoptions.
  • Perform other related duties as needed to ensure a positive work environment and public image.
  • Crosstrain at Cat City to provide coverage as needed, and transport cats if necessary
  • Attend bi-weekly care meetings and positively contribute towards progressive operating procedures in collaboration with the Sr. Director, Shelter Operations Manager, and various staff. Facilitate Lynnwood adoption staff meetings that promote effective communication and collaboration
  • In collaboration with the Associate Director and Animal Care Manager evaluate and determine when individual animals are ready to become available for adoption.  
  • Work collaboratively in creating and revising adoptions and client services documents, SOPs and manuals as needed.
  • Provides adoptions and client services staff with transparency and information regarding the pathway planning of animals, and the decision making around euthanasia.
  • Lead and model excellent customer service from PAWS and ensuring direct care staff provide excellent customer service.
  • Revise protocols and procedures, remaining in line with and referring to and meeting the most recent edition of The Guidelines for Standards of Care in Animal Shelters, 2nd Edition, for support in addition to other shelter resources and in collaboration with the Shelter Operations Manager and other shelter staff.
  • May be assigned other related duties.

 

Controls over Work

The Shelter Customer Service and Adoptions Manager is a member of the CAS Management Team and reports directly to the Shelter Operations Manager and is expected to perform the established duties and essential functions without direct supervision.

 

Physical Requirements:

 

Candidates must be able to lift a minimum of forty (40) pounds.  Work is performed both in and out of the PAWS facility that requires lifting, bending, stooping, pushing and other moderately strenuous activities.  Must be able to sit or stand for long periods of time, including working at a computer or exam table. Qualifications

Requirements

  • Previous experience in leading customer service teams with demonstrated experience resolving customer escalations.
  • Additional schooling and/or experience in the animal care profession are highly desirable.
  • Minimum 2 years’ management experience, and a minimum of 2 years’ experience working in an animal shelter or an equivalent combination of experience working with animals. Supervisory experience at an animal shelter or similar facility working with staff and animals is highly desirable.
  • Capacity to work daily with companion animals and have a basic understanding of the needs and behavior characteristics of domestic cats and dogs and be able to handle individual animals in a caring, safe, and humane manner.
  • Demonstrated experience in injection euthanasia using sodium pentobarbital. and must have or be able to obtain a Washington State Certificate for the Administration of Legend Drugs and a PAWS Certificate of Euthanasia Training.
  • A college degree and/or additional schooling/experience in the animal care profession are desirable.
  • Certification in FearFree™ sheltering methods, or able to achieve this training upon hire.
